Practice Manager III

Louisville, KY

Under the direction of the Director of Operations, the Practice Manager III is responsible for the day-to-day operations, leadership, and management of a Baptist Health Medical Group Urgent Care practice.

This position provides on-site leadership for clinical and administrative operations while ensuring an exceptional patient experience, efficient workflows, regulatory compliance, and achievement of organizational and practice goals. The Practice Manager III combines strong supervisory, operational, financial, and administrative skills to support providers and staff and promote the overall success of the practice.

Principal Duties and Responsibilities

  • Oversee the daily operations and overall management of the practice, including monitoring performance through objective measures and a balanced scorecard approach.
  • Provide leadership, supervision, and direction to practice staff while promoting a positive, patient-focused work environment.
  • Coordinate physician and staff schedules to ensure appropriate coverage and efficient practice operations.
  • Serve as the on-site Compliance Officer and ensure the practice operates in compliance with applicable regulations, including HIPAA, OSHA, employment laws, and Baptist Health policies.
  • Review, address, and appropriately respond to compliance concerns or issues reported by patients or staff.
  • Review and act upon physician and staff leave requests in accordance with organizational policies.
  • Conduct periodic inspections of the practice to identify needed repairs, grounds work, building maintenance, or equipment maintenance.
  • Evaluate operational needs and make recommendations regarding equipment and supplies necessary to maintain efficient practice operations.
  • Order and maintain appropriate levels of supplies and equipment.
  • Promote and support quality improvement initiatives designed to improve patient care, safety, service, and operational efficiency.
  • Develop, monitor, and manage the practice’s annual operating budget.
  • Monitor expenses and resources to support responsible financial management.
  • Collaborate with Marketing and Public Relations as needed to promote the practice and enhance its public image.
  • Establish guidelines and priorities for work activities, evaluate effectiveness, and modify processes as necessary to meet practice and organizational goals.
  • Identify opportunities to improve workflows, productivity, patient satisfaction, and overall operational performance.
  • Collaborate with physicians, clinical leaders, and organizational departments to address operational needs and resolve issues.
  • Ensure staff understand and follow applicable policies, procedures, safety standards, and regulatory requirements.
  • Perform other duties, both major and minor, as assigned by the Director of Operations.

Minimum Education, Training, and Experience Required

The following qualifications represent the minimum requirements necessary to adequately perform this position. Equivalent combinations of education, training, and experience that provide the necessary knowledge, skills, and abilities may be considered, subject to applicable legal and regulatory requirements.

  • Bachelor’s degree (BA or BS) required; however, an Associate’s degree and/or equivalent relevant experience may be considered in lieu of the degree.
  • Minimum of 5 years of healthcare management experience required.
  • Strong knowledge of OSHA regulations, safety standards, and other applicable healthcare regulatory requirements.
  • Demonstrated leadership, organizational, communication, and problem-solving skills.
  • Experience managing healthcare operations, staffing, budgets, and regulatory compliance preferred.
