A Glimpse of the Job

The Events Coordinator II provides central coordination of events and conferences from event planning through execution.

Essential Duties/Tasks:

Event Coordination and Management

  • Coordinates events and conferences; providing central coordination from event inquiries through execution.
  • Provides on-site customer support during events.
  • Work with fellow managers & directors to provide the best events to our customers.
  • Other duties as assigned.

Direct Client Interaction

  • Work with clients throughout the event planning process, sometimes starting as early as event conception.
  • Take steps to ensure that all event & audience needs are understood, confirming timelines, any security expectations are known, & arranging any special requests.

Supervision and Staff Management

  • Assists in the supervision of student staff.
  • Establish clear understanding of event expectations for support and technical staff ahead of event setup, ensuring an efficient setup and successful event.

Communication

  • Communicates pertinent organizational information to upper management and administration, event coordinators, set up crews, and student leaders.

Facility Oversight Assistance

  • Work with fellow facility staff to monitor issues that could impact events, guest safety, or general upkeep.
  • Work with SSC for scheduling of any repairs or projects and follow-up.

Other Duties

  • Perfoms other duties as assigned.

Required Education and Experience:

  • Bachelor’s degree in applicable field or equivalent combination of education and experience.
  • Two years of related experience in event planning including related supervisory experience.

Knowledge, Skills, and Abilities:

  • Ability to multitask and work cooperatively with others.
  • Knowledge of word processing and spreadsheet applications.
  • Strong organizational skills.
  • Effective verbal and written communication skills.

Physical Requirements:

  • Ability to lift/move heavy objects
  • Ability to stand for long periods of time

  • This position is security sensitive
  • This position requires compliance with state and federal laws/codes and Texas A&M
  • University System/TAMU policies, regulations, rules and procedures
  • All tasks and job responsibilities must be performed safely without injury to self or others in compliance with System and University safety requirements
  • Ability to work beyond normal office hours and/or work on weekends
