JOB SUMMARY

As a CMS Service Coordinator at Dolese, you will coordinate fleet maintenance workflow activities through the Computerized Maintenance Management System (CMMS). This role serves as a key point of coordination between maintenance shops, field locations, and technicians to help ensure preventive maintenance, repairs, and inspections are completed on time with minimal disruption to operations. In this role, you will proactively schedule maintenance activities, track upcoming service needs, assist with parts procurement, create purchase orders, and help maintain accurate maintenance records while supporting overall shop efficiency.

KEY RESPONSIBILITIES/ESSENTIAL FUNCTIONS

Maintenance Coordination

  • Manage daily maintenance workflow activities through the CMMS.
  • Review, prioritize, and coordinate incoming repair requests and work orders.
  • Coordinate shop schedules to maximize technician productivity.
  • Schedule preventive maintenance services based on mileage, hours, or time intervals.
  • Schedule and coordinate mobile service work at plant and jobsite locations.
  • Monitor work order status and support timely completion of maintenance activities.
  • Follow up on overdue work orders and outstanding repairs.

Communication & Coordination

  • Notify plant personnel at field locations of upcoming and overdue preventive maintenance activities.
  • Coordinate equipment availability with plant managers and operations teams to support maintenance scheduling and service activities.
  • Serve as a primary contact between maintenance, operations, vendors, and technicians.
  • Communicate updates regarding maintenance schedules, equipment status, and repair progress.

Parts & Purchasing Support

  • Assist with identifying and ordering parts required for scheduled repairs.
  • Create purchase orders for parts, outside repairs, and vendor services.
  • Coordinate with vendors to support timely delivery of parts and services.
  • Track backordered or delayed parts and communicate potential impacts to maintenance schedules.

Documentation & Reporting

  • Maintain accurate maintenance records within the CMMS.
  • Ensure work orders contain complete labor, parts, and repair documentation.
  • Generate maintenance reports, service schedules, and supporting documentation as needed.
  • Monitor preventive maintenance compliance and equipment downtime metrics.
  • Support inventory control and parts management activities as needed.

Continuous Improvement

  • Identify opportunities to improve maintenance scheduling and workflow efficiency.
  • Assist with developing and maintaining standardized maintenance processes and procedures.
  • Support fleet reliability initiatives and preventive maintenance programs.
  • Reliable, regular attendance at the worksite or assigned work location.
  • Other duties and responsibilities related to the nature of the job may be assigned on a temporary or permanent basis as needed.

QUALIFICATIONS

Education & Experience

  • High school diploma or equivalent required.
  • Minimum of two (2) years of experience in fleet maintenance, equipment maintenance, service coordination, operations support or a related field preferred.
  • Experience using CMMS or similar fleet maintenance software preferred.

Knowledge, Skills & Abilities

  • Basic understanding of heavy-duty truck or construction equipment maintenance.
  • Strong organizational and multitasking skills with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent planning and scheduling abilities.
  • Strong attention to detail with the ability to maintain accurate records and documentation.
  • Strong problem-solving and decision-making skills.
  • Ability to prioritize competing tasks and adapt to changing operational needs.
  • Ability to work independently while collaborating effectively across multiple departments.
  • Excellent communication and customer service abilities.
  • Must be able to effectively communicate and interact with both internal customers and external vendors.
  • Proficient in Microsoft Office applications, particularly Excel and Outlook.
  • Willingness to work a flexible schedule, including early mornings, nights, and weekends as required.

PHYSICAL REQUIREMENTS

  • Lift objects of various dimensions and up to 30 lbs. of weight occasionally.
  • Ability to repeatedly climb stairs and ladders.
  • Ability to work in confined spaces.
  • Ability to repeatedly balance, bend from the trunk, crawl, kneel, push and pull objects.
  • Ability to repeatedly reach, squat, and tolerate prolonged standing, walking, and sitting.
  • Ability to work near, around, or on light or heavy equipment.
  • Ability to perform repetitive motions such as typing and data entry using a keyboard and mouse.
  • Ability to communicate clearly and effectively.
