Job Description:

People Services Administrator (Temporary Contract until end of 2026, with potential to extend)

Solihull, Hybrid working

About the role: The People Services Administrator plays a vital role within the HR Operations Centre of Excellence, providing essential first-line administrative support to our UK agencies in the OA network. This position is integral to our collaborative efforts with Agency People Teams, Talent Acquisition and Shared Services in supporting our workforce.

The HR Operations team is focused on embedding and enhancing our services, driving results and optimising processes, strengthening collaboration with stakeholders and developing future focused initiatives, including self-service capabilities and automation.

Key Responsibilities: Incoming queries

  • Signposting and sharing standard responses to incoming enquiries
  • Triaging and escalating incoming queries where appropriate to People Services Executives or the People Services Manager and/or other People Team as per guidelines
  • Maintaining customer focused and results driven at all times

Onboarding/Offboarding/Employment Changes:

  • Drafting changes of terms and processing resignation and probation letters
  • Data entry on Workday, updating staff files, completing, following up/filing reference requests incoming/outgoing
  • Arranging induction/access pass/IT kit
  • Issuing probation/fixed term contract/contingent worker end date reminders
  • Supporting People Service Executives and People Service Manager with other onboarding, offboarding and employment change administration and projects where required

Compliance, Systems & Reporting:

  • Processing purchase orders and supplier invoices for the people team
  • Running standard monthly reports - headcount, FTC, probation review dates, contingent worker expiry dates, SOX IT audit, absence, reports for finance etc
  • Supporting People Service Executives and People Service Manager with staff file and Right to Work in the UK audits, expiry reminders, ad-hoc reports and staff file updates

Payroll & Benefits:

  • Adding and removing employees from benefits platforms, checking usage stats
  • Providing responses and sign posting to incoming queries relating to payroll and benefits
  • Triaging and escalating incoming queries to Payroll team or People Services Executives as per guidelines
  • Supporting People Services Hub with other payroll and benefits related administration where required

Managing Self:

The People Services Administrator will be proactive in upskilling knowledge in the HR Operations space and personal development – including completing GDPR & data security training, becoming an expert on applying our HR policies and guidelines, completing any other assigned learning, attending Employment Law training and embracing development opportunities and other opportunities as they arise.

The role may include other duties and responsibilities as reasonably required by the company, commensurate with the role's level and scope, to meet business needs and changing circumstances.

Skills & Competencies: Essentially, you will have:

  • High level of attention to detail
  • Previous experience working in a HR Operations role / confidence with HRIS systems
  • A passion for continuous process improvement
  • A good understanding of MS Office, with experience using Word as a minimum with a confident approach to learning new systems and processes
  • Customer-focused attitude with excellent communication skills and a commitment to delivering high quality service

Ideally, you will have:

  • Familiarity with Workday would be beneficial
  • Some experience in a process driven environment and managing multiple tasks and prioritising effectively
  • Awareness of the types of procedures that People Operations Centre of Excellence (CoE) undertakes with an understanding of HR policies
  • Data entry skills, with a track record of 100% accuracy
