The Office Services Associate provides hands-on office and facilities support for the our corporate client. Responsibilities include maintaining kitchens, conference rooms, common areas, and office supplies; performing routine facility and property walkthroughs; responding to Rainier service tickets; receiving and organizing deliveries; supporting facility invoice processing; and identifying and escalating maintenance or workplace issues.

The ideal candidate is reliable, organized, service-oriented, and comfortable working independently within established procedures. This is a hands-on office services role requiring strong attention to detail, consistent follow-through, and the ability to support the daily operational needs of the workplace.

  • Schedule: Monday-Friday

Core Responsibilities

  • Perform routine walkthroughs of office areas to identify maintenance, cleanliness, safety, or service issues.
  • Maintain kitchens and café areas, including cleaning, organization, and replenishment of supplies.
  • Set up, reset, and maintain conference rooms and meeting spaces.
  • Monitor and replenish copy paper, café products, and other office supplies throughout the facility.
  • Check restrooms and common areas for service or maintenance issues and replenish designated supplies as needed.
  • Conduct routine exterior and property perimeter checks for lighting, locks, parking, sidewalks, and other potential safety or maintenance concerns.
  • Monitor and respond to assigned facilities and service tickets through the Rainier system.
  • Track open service requests, provide appropriate follow-up, and escalate unresolved issues when necessary.
  • Receive, organize, and put away office and facilities supply deliveries.
  • Support routine processing and tracking of facilities invoices.
  • Monitor workplace conditions throughout the day, including floors, ceilings, walls, lighting, common areas, and workspaces.
  • Identify and report maintenance, HVAC, electrical, plumbing, pest-control, parking, or other building-related concerns to the appropriate contact.
  • Support routine mail, package, shipping, and postage needs as assigned.
  • Assist with meeting, event, hospitality, and employee workplace needs as required.
  • Provide professional support to employees, visitors, and other onsite stakeholders.
  • Maintain accurate workplace records, logs, trackers, and routine documentation.
  • Provide general office services and administrative support as assigned.
  • Follow established opening and closing procedures to ensure the workplace is prepared at the beginning of the day and appropriately reset at the end of the day.
  • Perform additional office services and workplace support duties based on daily operational needs.

Qualifications & Requirements

  • 1–3 years of office services, facilities support, hospitality, mailroom, administrative, or related workplace experience preferred.
  • Strong customer-service and communication skills.
  • Reliable, punctual, and able to work independently on assigned daily responsibilities.
  • Strong organizational skills and attention to detail.
  • Ability to recognize workplace conditions or service issues requiring attention.
  • Ability to prioritize routine responsibilities while responding to changing service needs throughout the day.
  • Comfortable performing hands-on office and facilities support duties.
  • Basic proficiency with Microsoft Office and the ability to learn workplace service, ticketing, and other client-specific systems.
  • Ability to communicate professionally with employees, visitors, vendors, and management.
  • Demonstrated accountability and consistent follow-through on assigned tasks.
  • Ability to follow established procedures and recognize when an issue should be escalated.
  • Ability to lift or move 40 lbs. or greater.
  • Ability to grasp, lift, or carry packages using a standard wheeled cart with a load capacity of 75 lbs.
  • Ability to regularly walk throughout the facility and bend, kneel, stand, or sit for extended periods.

Role Scope

This is a hands-on Office Services Associate position focused on the daily execution of workplace and facilities support activities.

The associate is expected to identify issues, address routine matters within established procedures, submit and follow up on service requests, and escalate issues to the appropriate contact when additional assistance or authorization is required.

Responsibility for account management, client relationship management, personnel management, vendor management, contract decisions, and broader operational governance remains with Opensity account leadership.
