Job Description
The Warehouse Operations Specialist is responsible for executing and ensuring compliant, accurate, and efficient warehouse operations within a manufacturing environment. This role focuses on inventory control, inbound/outbound execution, WMS data integrity, safety (EHS), equipment compliance, and audit readiness, contributing to overall supply chain reliability and regulatory adherence.
PRIMARY ACTIVITIES
Primary Accountabilities/Responsibilities
Inventory Control & Data Integrity
- Maintain high level of inventory accuracy in alignment with financial and operational requirements
- Execute cycle counts and physical inventory according to defined schedules
- Investigate discrepancies, perform root cause analysis (RCA), and implement corrective/preventive actions (CAPA)
- Ensure all transactions are timely, accurate, and compliant with internal policies and regulatory standards
2. Warehouse Operations Execution (Inbound/Outbound)
- Coordinate and execute inbound (receiving, put-away) and outbound (picking, packing, shipping) processes
- Ensure material flow supports production and customer requirements without disruption
- Monitor adherence to SOPs and operational KPIs (service, accuracy, timeliness)
- Collaborate cross-functionally with Production, Quality, Procurement, and Logistics
3. Warehouse Management System (WMS) & Digital Compliance
- Perform and monitor WMS transactions ensuring full traceability and data integrity
- Support system-related issue resolution and process optimization initiatives
- Ensure compliance with data integrity principles
- Participate in system enhancements, testing, and continuous improvement activities
4. Safety, Health & Environment (EHS)
- Ensure all warehouse activities comply with EHS standards and local regulations
- Identify and escalate safety risks; support implementation of mitigation measures
- Promote a strong safety culture and adherence to 5S and housekeeping standards
5. Equipment & Facility Compliance
- Ensure proper and safe use of warehouse equipment (forklifts, racks, tools)
- Support maintenance planning and equipment inspection readiness
- Report and follow up on equipment non-conformities
6. Quality & Audit Readiness
- Maintain audit-ready documentation and support internal/external audits (e.g., GMP, HCCAAP)
- Ensure compliance with SOPs, quality standards, and regulatory requirements
- Participate in deviation handling, CAPA, and continuous improvement programs
7. Continuous Improvement
- Identify process inefficiencies and propose operational improvements
- Support to operation excellence
- Contribute to performance tracking and reporting (KPIs, dashboards)
EDUCATION, EXPERIENCE & COMPETENCIES
Desired Experience/Education/Skills:
- Bachelor’s degree in Supply Chain, Logistics, Engineering, or related field
- 3–5 years of experience in warehouse or manufacturing environment
- Experience with WMS/ERP systems (e.g., SAP)
- Understanding of GMP / regulated environment is a strong advantage
- Solid knowledge of inventory control, warehouse operations, and EHS practices
