About the Role

We are seeking a detail-oriented, proactive Sales Support & Operations Specialist to join our team. In this pivotal role, you will bridge the gap between our sales team, logistics partners, and valued customers. You will serve as a key point of contact for day-to-day customer communication, streamline order administration, coordinate logistics, and assist with specialized administrative processes to ensure operational excellence.

Key Responsibilities

Daily Sales & Customer Care

  • Customer Communication: Serve as the main point of contact for customer inquiries via telephone and email; resolve issues regarding missing invoices, delivery notes, and order updates promptly.
  • Order & Quotation Management: Prepare daily customer offers/quotations and coordinate customer orders through the designated system to ensure accurate, timely processing.
  • Invoicing & Mail: Manage the flow of incoming and outgoing customer correspondence as well as the administrative processing of incoming and outgoing invoices.
  • Documentation & Quality Control: Perform set control procedures, generate delivery notes, and ensure all order documentation is complete and accurate.

Logistics & Inventory Coordination

  • Shipment & Collection Management: Oversee dispatches and coordinate pickups/deliveries with carrier services.
  • Returns Processing: Handle customer returns, including wear-and-tear evaluations and the processing of clearance goods.
  • Stock & Inventory: Maintain and update current inventory lists to support stock accuracy and operational visibility.

Specialized Operations & Process Support

  • Pricing & Consignments: Assist with updating price lists and maintaining consignment inventory tracking lists.
  • Financial Administration: Process and issue credit notes in compliance with company guidelines.
  • Complaint Management (JIRA): Log, track, and follow up on customer complaints and EEF (Equipment/Early Failure) cases using JIRA to ensure quick resolution.
  • Dosimetry Support: Support administrative workflows and compliance tracking related to dosimetry services

Qualifications & Requirements

  • Experience: Proven experience in sales support, customer service, logistics administration, or commercial operations.
  • Communication: Excellent verbal and written communication skills with a strong customer-first mindset.
  • Technical Skills: Proficiency in ERP systems and MS Office (Excel, Word). Familiarity with ticket tracking tools like JIRA is a plus. Experience with carrier management tools (UPS, GO!).
  • Organizational Skills: High attention to detail, strong multi-tasking capabilities, and a structured work style.
  • Problem-Solving: Proactive attitude toward handling customer claims, returns, and administrative inquiries.
