About the Job:

PURPOSE STATEMENT:

The Office Services Coordinator supports the daily operation of the corporate office by coordinating workplace services, reception, mail and shipping, supplies, vendors, facilities requests, meetings, and employee support. This role helps maintain a safe, organized, professional, and welcoming office environment while ensuring employees and visitors receive timely, reliable service.

This is a fully onsite position in Franklin, TN.

Roles and Responsibilities:

ESSENTIAL FUNCTIONS:

Office Operations & Facilities Support

• Maintain office common areas, conference rooms, breakrooms, kitchens, storage areas, supply closets, and reception spaces in a clean, organized, stocked, and ready condition.

• Coordinate routine workplace needs, including office moves, furniture setup, signage, nameplates, workspace readiness, and room preparation.

• Submit, track, and communicate facility maintenance, repair, safety, and service requests through resolution.

Supplies, Equipment & Vendor Coordination

• Monitor, order, stock, and maintain office, breakroom, paper, beverage, snack, and other workplace supplies through approved vendors.

• Maintain supply records, monitor usage, conduct routine inventories, and identify opportunities to reduce waste and control costs.

• Coordinate office service vendors, including supplies, beverage/coffee, cleaning, pest control, security, equipment maintenance, shipping, and courier services.

• Schedule vendor visits, coordinate quotes or service agreements, monitor service quality, and ensure vendors follow corporate policies while onsite.

• Maintain copiers, printers, postage equipment, and related office technology; troubleshoot minor issues and coordinate service as needed.

Reception, Mail & Administrative Support

• Greet visitors, notify appropriate personnel, answer and direct calls, respond to general inquiries, and maintain a professional reception environment.

• Receive, sort, distribute, and coordinate mail, packages, courier deliveries, outgoing shipments, postage, and shipping records.

• Provide administrative support, including document preparation, records management, data entry, communications, conference room scheduling, and meeting logistics.

• Support onboarding, workspace readiness, site tours, meetings, and employee events as assigned.

ADDITIONAL RESPONSIBILITIES:

• Maintain professionalism, confidentiality, regular attendance, and compliance with organizational policies, procedures, training requirements, and applicable standards.

• Support special projects, corporate initiatives, events, process improvements, and other duties as assigned.

EDUCATION/EXPERIENCE/SKILL REQUIREMENTS:

• High School Diploma or GED required; Associate degree in Business Administration, Office Administration, Facilities Management, or related field preferred.

• Minimum of three (3) years of experience in office administration, office services, office management, workplace coordination, facilities coordination, reception, hospitality, or a related field.

• Experience supporting a professional corporate office environment and coordinating vendors, office services, inventory, purchasing, or facilities operations preferred.

• Excellent customer service, interpersonal communication, organizational, time-management, prioritization, attention-to-detail, problem-solving, and follow-through skills.

• Ability to work independently, manage multiple priorities, adapt to changing business needs, maintain confidentiality, and exercise professional judgment.

• Basic understanding of facilities operations, office equipment, workplace services, and practical cost-saving or process-improvement opportunities.

• Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and Teams.

• Ability to lift and carry up to 30 pounds occasionally.

WORK LOCATION:

This position is on-site at the Company’s headquarters in Franklin, TN and is not a remote position.
