Position Summary

The Sales Administrative Assistant provides administrative and clerical support to the Sales team at McLemore Resort, helping ensure smooth daily operations, accurate documentation, and excellent internal and external communication. This role is essential to supporting group bookings, client correspondence, and general sales office functions.

Reports To: Director of Sales

Key Responsibilities

  • Answer and direct phone calls, emails, and inquiries related to sales and group bookings and enter into CRM system
  • Provide day-to-day administrative support to the Sales team, including scheduling meetings, site visits, and appointments
  • Prepare, proofread, and distribute sales contracts, proposals, correspondence, and reports
  • Maintain and update client and account records in the resort's CRM or booking system
  • Assist with preparing materials for BEOs, resumes, client presentations, site tours, and sales meetings
  • Coordinate with other departments (Front Desk, Conference Services, Banquets, Housekeeping) to support group and event logistics
  • Track and organize sales documents, contracts, and files, both physical and digital
  • Assist in generating sales reports, tracking leads, and monitoring booking pace
  • Order and maintain sales office supplies and marketing collateral inventory
  • Support the planning and execution of client site visits, including greeting visitors and preparing and dropping welcome amenities.
  • Assist with group reservation updates as needed including entering rooming lists, making changes, pulling client rooming lists, and setting up group billing in the property management system.
  • Monitor group cut off dates and check with Conference Service Manager’s on status on room blocks.
  • Manage Hilton’s FastPay system for group commission processing, including uploading contract, entering pickup and confirming group commission amounts.
  • Perform other administrative duties as assigned by the Director of Sales

Qualifications — Required

  • Minimum of high school diploma or equivalent (GED)
  • Reliable personal transportation
  • Strong verbal and written communication skills
  • Proficiency with Microsoft Office (Word, Excel, Outlook)
  • Excellent organizational skills and attention to detail
  • Ability to multitask and prioritize in a fast-paced environment
  • Professional demeanor and strong customer service orientation

Qualifications — Preferred

  • Prior experience in an administrative, hospitality, or sales support role
  • Familiarity with hotel/resort booking or CRM software – Delphi/Amadeus, PEP, R&I
  • Experience in the hospitality or tourism industry

Work Environment & Physical Requirements

  • Primarily office-based within the resort setting
  • May require occasional movement throughout the resort property to support site visits or events
  • Ability to sit, stand, and use a computer for extended periods
  • Occasional lifting of office supplies or event materials (up to 20 lbs)

Schedule

  • Hourly, non-exempt position
  • Full-time or part-time hours available; may require occasional evenings or weekends to support sales events or client visits
