About the Opportunity:

The Washington County Sheriff's Office is seeking two Administrative Specialist II’s to join the Civil Unit and the Concealed Handgun License (CHL) Unit within the Services Division. The Services Division supports community safety and cultivates trusting relationships with residents of Washington County. The Services Division can also provide public records requests, civil service of court documents, retrieving seized property, processing and issuing Handgun licenses and more.

The CHL Opportunity:

The Concealed Handgun License (CHL Unit) at the Sheriff’s Office is responsible for fulfilling statutory requirements of Oregon Sheriffs to provide fingerprinting and background checks for Concealed Handgun License applicants who meet the minimum qualifications.

The Administrative Specialist II in the CHL unit is responsible for a variety of administrative tasks, including collecting payments, recording fees, drafting correspondence and balancing day-end reconciliation. They will research statutes in support of Concealed Handgun License applications and license issuance. This position has a considerable amount of public contact in explaining Oregon Revised Statutes and procedures. Additionally, the Administrative Specialist II – CHL will provide fingerprinting (hands-on) to a variety of individuals, including citizens, in-custody juvenile offenders and Deputy applicants. The Administrative Specialist II – CHL will work Monday through Friday, 8:00 am-4:30pm.

The Civil Unit Opportunity:

The Sheriff’s Office Civil Unit is responsible for booking, serving, and enforcing court orders and documents issued by the courts. The Civil Unit ensures all court orders are complete before serving the documents to the person named on the paper or a responsible party, when applicable.

The Civil Unit is looking for someone to support Civil Deputies and serve the public by reviewing and processing civil documents and answering civil process questions from the public. Additionally, they will research statutes in support of documents serviced by Civil Deputies and work directly with internal and external criminal justice partners. The Civil unit Administrative Specialist II will possess the skills necessary to learn complex legal concepts related to civil processes and the Sheriff’s role in serving court documents and court orders. They will effectively handle multiple priorities and perform diverse administrative duties and functions requiring confidentiality, initiative, and sound decision-making. The Administrative Specialist II – Civil will work Monday through Friday, 8:00 am-4:30pm.

Knowledge of:

  • Business English, spelling, grammar, and punctuation;
  • Operation and maintenance of office equipment and machinery;
  • Basic mathematical principles

  • Provide timely, effective, and efficient customer service to the general public, clients, and other employees; and
  • Interact patiently with individuals making inquiries regarding various County programs and services who have little or no experience or knowledge of the services provided.

Ability to:

  • Understand and carry out oral and written instructions;
  • Apply applicable federal, state, and local laws, rules, regulations, and policies;

  • Exercise keen time management skills, balance multiple priorities, and consistently meet timelines and due dates.

Minimum Qualifications:

Education and Experience:

  • A high school diploma or equivalent; and
  • Three (3) years of progressively responsible experience providing administrative or clerical support.
  • Possession of Microsoft Office Specialist (MOS) or other applicable certifications may substitute for up to one (1) year of the experience requirement.

Additional Requirements:

  • Selected finalist must be able to pass a Post-offer Drug Screen.
  • Background Investigation: The selected finalist(s) for this position must be able to pass a thorough background investigation conducted by the Sheriff's Office. The background Investigation for this position typically takes 6-8 weeks to complete, so you will want to plan accordingly. The information that will be required when you complete the Personal History Statement includes, but is not limited to:
  • Employment Information (past 10 years or back to age 17; 3 coworkers will be requested from each past employer)
