Job Description

Western Nevada College is recruiting for a NSHE Specialist 1. The purpose of this position is to serve as the Module Lead for the Academic Advisement (AA) portion of the PeopleSoft Student Services Module located on the Western Nevada College campus, to serve as the college Transfer Credit Evaluator, and posting degrees. As the Module Lead for AA, this position will represent WNC in the shared instance throughout NSHE, maintain and update audit reports, and trouble-shoot technical problems with PS software. As the Transfer Credit Evaluator, this position will evaluate transcripts and post transfer credit to student's WNC transcript. This position also determines if requirements are met and posts degrees and certificates of achievements for each graduate who fulfills all requirements. All aspects of this position require a great deal of responsibility, initiative, technological expertise, problem-solving, the ability to communicate effectively with two separate departments, and to network effectively with staff supporting other AA modules within the shared instance.

Duties and Responsibilities

Academic Advisement Module:

Module lead for AA module. Test bundles and modifications and signs off for college. Represent WNC in the AA-ASG meetings. Monitors security assignments for AA module. Build coding schemes and program advisement reports for all new degree programs. Maintain and update advisement reports for all existing degree programs. Trouble-shoot and reprogram audit reports that are not running correctly. Train users on how to run and interpret advisement reports. Research solutions to problems using the academic advisement module on the HEUG website and with other institutions on the listserve. Keep Director of Admissions and Records and Director of Counseling informed on all aspects of academic advising. Enter student exceptions. Keep appropriate staff up to date on changes, enhancements, problems and training.

Transfer Credit Evaluation:

Process Petition for Credit Evaluation forms. Verify that data from original transcripts were entered correctly, including grades and units. Evaluate transfer courses using TES (Transfer Credit Evaluation System). Post transfer credit to student's record and verify that the student is not receiving duplicate credit. Notify student when evaluation is completed or if additional information is needed. Create, update and correct transfer credit rules.

Process/Post Applicants/Graduates:

Run advisement report for each graduation applicant and verify if applicant is ready to graduate. Post any transfer credit or break down any previous bulk transfer credit that may be needed to fulfill degree requirements. Sign off for applicants ready to graduate, noting any in progress requirements. Determine if requirements are met and post degrees and certificates of achievements for each graduate who fulfills all requirements. Refer problems to Registrar.

Essential Qualifications

  • This position requires Bachelor’s degree from an accredited college or university and one (1) year of relevant experience; OR
  • Graduation from high school or equivalent education and three (3) years of program support experience equivalent to an Administrative Assistant III in Nevada state service which included applying complex laws and regulations, composing written materials and maintaining records; OR
  • An equivalent combination of education and experience as described above

Preferred Qualifications

  • Experience working in a higher education setting
  • Experience with PeopleSoft Student System
  • Experience with TES (college source database to research course descriptions)
  • Experience with OnBase
  • Experience with academic advising and transfer credit evaluation

Schedule

The typical work schedule is Monday through Friday from 8:00 am to 5:00 pm; this is subject to change based on organizational needs.

Grade 31

Minimum: Grade 31 Step 1 $54,434.16 annually

The classified employee pay scale is divided into 10 steps within each grade. Most employees start at a step 1 and are eligible for an annual step increase with satisfactory performance, until they reach the maximum, step 10. Salary placement above a Step 01 at initial appointment is determined based on the candidate’s qualifications, internal equity and budgets, and Nevada Administrative Code.

Classified employees are eligible for any legislatively approved cost of living increases (COLA).

  • The Nevada System of Higher Education (NSHE) does not participate in the federal Social Security System but does contribute to the federal Medicare program. This means that while you are employed by NSHE neither you nor NSHE contribute to Social Security and you do not earn a Social Security benefit.
