ABOUT THE ROLE

The Workplace Coordinator / Workplace Associate owns the day to day front desk experience of our main Austin factory, across the street of our headquarters. This role supports our team, provides a friendly face to guest and team members alike, helps get the vendors coordinated and guided to the correct area or assigned to the correct team member, and keeps the culture strong. With your support, the rest of the team can focus on their work and be more efficient.

This is a high visibility, high trust role. You'll be the first point of contact for guests, onboarding and employees when it comes to the factory environment, and the person other teams count on to keep the space welcoming and organized.

WHAT YOU'LL DO

- Own the front desk and serve as the first point of contact for employees, visitors, candidates, vendors and other guests.

- Coordinate onsite visits, notify interview panels when interviewers arrive, make sure that everyone is welcome and follow the the sign in procedures.

- Keep the reception area, conference rooms and shared spaces, ensuring they are clean, organized, stocked and ready for employees and visitors.

- Support employee onboarding sessions., workplace events and other day to day activities.

- Work closely with the broader Workplace team, IT, Security and HR in order to assist different needs.

WHAT YOU'LL BRING

- 1–3 years of experience in an office or workplace operations or front desk role.

- Strong organizational skills, attention to detail and an ability to manage multiple priorities.

- Professional, friendly and approachable communication style with strong customer service focus.

- Ability to work independently, exercise good judgement and take initiative.

- Comfortable using Google Workspace, Jira and other workplace tools.

- Spanish language skills are a plus as the role regularly interacts with delivery drivers, vendors and visitors who might primarily speak Spanish.

- Flexible and comfortable occasionally adjusting working hours to support business needs, including providing partial coverage during second shift at the factory.

Workplace at Base runs on the idea that the best offices are the ones people don't have to think about. Supplies are stocked before anyone notices they're low. Guests are greeted before they have to ask. Problems get fixed before they become complaints. That invisibility is the job and it requires a lot of hard work. We believe a great workplace function is proactive, not reactive, anticipating needs instead of responding to tickets. It's consistent and the experience at one site should feel like the experience at every site, even as we add more of them. We are resourceful, most problems don't need a bigger budget or a bigger team, just better judgment about what's actually worth solving formally versus handling on the fly.
