A Brief Overview

The Children's Hospital of Philadelphia (CHOP) PolicyLab, in partnership with the CHOP Primary Care Network, is leading the development of an integrated, health system-based response to family's health related social needs (HRSNs), with a specific focus on early childhood education and child care access.

As pediatric primary care increasingly serves as a universal touchpoint for identifying social needs, CHOP has implemented enterprise-wide screening to identify barriers impacting child health and well-being. Child care has emerged as one of the most prevalent unmet resource needs. In response, CHOP is building a coordinated model that moves beyond identification to deliver timely, effective, and scalable support for families.

PolicyLab's Community Clinical Systems Integration (CCSI) initiative is at the forefront of this effort; designing and implementing a sustainable approach to child care navigation that integrates clinical care, family support, and community systems. To support these efforts, CHOP PolicyLab is seeking a self-motivated professional to serve as Clinical Research Coordinator - Child Care Navigator, a multifaceted role that combines direct family support with systems development. This position will serve as a key contributor to both:

• Direct implementation of child care navigation services at Cobbs Creek Pediatric Primary Care, which functions as a primary implementation and learning site, and

• Enterprise-wide development of child care responses to HRSN screening.

This role is both service-delivery and systems-building – translating frontline experience into scalable solutions that strengthen how healthcare responds to family child care needs. The individual will act as a child care content expert, navigator, educator, and cross-system liaison – supporting families in accessing quality child care while informing the development of workflows, partnerships, and tools that strengthen CHOP's system-wide response.

What you will do

Core responsibilities

• Serve as a primary point of contact for childcare navigation referrals at the West Philadelphia Cobbs Creek primary care network site, supporting Primary Care Physicians, Social Workers, Community Health Workers and other care team members.
• Monitor and manage incoming childcare referrals and ensure timely outreach and follow-up to families in alignment with program workflows and response standards.
• Deliver a tiered model of child care navigation support based on family need and complexity: Engage families (via phone, text, email or in the pediatric primary care setting) to provide universal and individualized resources that support families' needs to navigate eligibility for available child care and other related early education supports; For families requiring additional support, build trusted therapeutic relationships using reflective practice and motivational interviewing to identify barriers and support informed decision-making about quality child care; Coordinate across healthcare, early childhood, and community systems to address child care barriers, including communication with childcare providers, subsidy programs, Early Intervention, behavioral health services, and programs serving children with medical complexity.
• Ensure equity access by utilizing interpretation services and adapting communication to families' preferred languages and communication needs.
• Maintain accurate, timely and complete documentation of all family interactions, referrals, and outcomes within required systems (i.e. REDCap and EPIC)
• Maintain study source documents
• Report adverse events
• Understand good clinical practice (GCP) and regulatory compliance
• Educate subjects and family on protocol, study intervention, etc.
• Comply with Institutional policies, standard operating procedures (SOPs) and guidelines
• Must comply with federal, state, and sponsor policies

Related responsibilities

• Prepare, manage, submit, and maintain essential regulatory documents (e.g. IRB, FDA, etc.) and remain aware of the regulatory status for projects within scope of role
• Register study on ClinicalTrial.gov as appropriate
• Complete case report forms (paper & electronic data capture) and address queries
• Facilitate pre-study, site qualification, study initiation, and monitoring visit as appropriate
• Facilitate study close out activities as appropriate
• Coordinate research/project team meetings
• Collect, process and ship laboratory specimens
• Schedule subject visits and procedures
• Retain records/archive documents after study close out

Additional Responsibilities may include

• Manage study finances including sponsor invoicing & resolving study subject billing issues
• Develop advertisement materials
• Act as liaison for research subject, investigator, IRB, sponsor, and healthcare professionals
• Organize and/or run study-related meetings locally or across teams (for multi-site projects)
• Support study team communications and outreach
• Provide training to junior staff on conduct of research studies
• Document investigational product (drug/device) accountability
• Self-monitor and self-audit responsibilities
• Develop informed consent document and/or draft or edit IRB protocols or related documents such as study administration manuals
• Maintain Clinical Trial.gov
• Develop Case Report Forms
• Assignments to include more complex studies

Education Qualifications

• Bachelor's Degree - Required
• Master's Degree in a related field - Preferred

Experience Qualifications

• At least two (2) years of clinical/research coordination experience - Required
• At least three (3) years of clinical/research coordination experience - Preferred

Skills and Abilities

• Basic knowledge of IRB and human subject protection
• Excellent verbal and written communications skills
• Strong time management skills
• Ability to collaborate with stakeholders at all levels

SALARY RANGE:

$58,300.00 - $72,900.00 Annually

Salary ranges are shown for full-time jobs. If you're working part-time, your pay will be adjusted accordingly.
