Senior Executive Assistant

Citi's Research division is looking for a Senior Executive Assistant to deliver high-quality administrative support to senior leaders across multiple research franchises. In this role, you will be at the center of the team's day-to-day operations: managing complex schedules, driving publication submissions, and coordinating approval processes that keep the division running smoothly. This is an opportunity to play a meaningful operational role within one of the world's leading financial institutions, working closely with senior professionals in a fast-paced, high-impact environment.

Responsibilities:

• Deliver comprehensive calendar management and scheduling support for senior Research team members, ensuring all meetings, events, and commitments are coordinated efficiently and without conflict.
• Manage the end-to-end submission of research reports through the firm's publication system, ensuring accuracy, completeness, and timely delivery across all franchises.
• Drive the External Expert and Public Appearance Approval processes, coordinating with relevant stakeholders to secure timely sign-off and maintain compliance requirements.
• Coordinate all aspects of senior-level meetings, events, receptions, webcasts, and conference calls, managing logistics from initial planning through to execution.
• Prepare, review, and distribute meeting materials, correspondence, presentations, and supporting documents to a consistently high standard.
• Manage travel arrangements for senior team members, including the preparation of detailed schedules and itineraries.
• Process expense reports through the Travel and Entertainment system and manage procurement activities through the Procure to Pay system.
• Support and guide junior administrative staff, sharing knowledge and maintaining consistent delivery standards across the team.
• Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citi, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.

Qualifications:

• Experience in office administration within a financial services firm or a similarly large, complex organization.
• Advanced proficiency across the Microsoft Office suite, with the ability to quickly gain command of internal systems and tools.
• Clear and concise written and verbal communication skills, with the confidence to interact effectively with senior stakeholders.
• Self-motivated and detail-oriented, with the ability to manage multiple competing priorities under pressure.
• A demonstrated ability to handle sensitive information and approval workflows with discretion and professionalism.
• Demonstrated ability to quickly gain command of new systems

Education:

• Bachelor's/University degree or equivalent experience

Primary Location Full Time Salary Range:

$91,690.00 - $119,610.00
