Job Summary:
Job Responsibilities:
- Coordinate registration and logistics for the team's attendance at external conferences, trade shows, and industry dinners (badges, seats, sponsorship deliverables, dietary/attendee info, etc.).
- Track sponsorship costs, vendor invoices, and event-related spend against budget; flag discrepancies or upcoming payment deadlines.
- Arrange shipping of booth materials, collateral, and swag to event venues, and track shipments to confirm on-time arrival.
- Track event inventory remotely — monitor stock of swag and collateral, flag low supply, and coordinate reorders with vendors.
- Maintain the team's field events calendar, tracking registration deadlines, sponsorship commitments, and vendor payment/delivery timelines.
- Send reminders to traveling team members via Slack and email — covering upcoming deadlines, shipment status, sponsorship deliverables, and event prep tasks.
- Set up and monitor event registration pages where the company is sponsoring or exhibiting.
- Format and clean post-event lead spreadsheets for upload into HubSpot and Salesforce.
- Use templates to create event-related social graphics when needed.
Job Requirements:
- Location & Availability: Must be based in Medellín, Colombia, with the ability to commute to our office 2 days per week.
- Experience: 1–2 years of professional experience in administrative, operations, or event planning roles.
- Language Skills: Professional English proficiency (C1 level or higher) is mandatory, as you will coordinate daily with US-based vendors and global teams.
- Strong Organization: Exceptional time-management skills and comfort juggling multiple external deadlines (shipping cutoffs, registration windows, budget deadlines) with high autonomy.
- Remote/Hybrid Work Skills: Comfortable working both independently from home and collaboratively from the office, maintaining strong asynchronous communication habits (Slack, email).
- Basic Financial Tracking: Comfort working with spreadsheets to track budgets, invoices, and expenses (no formal finance background required).
- Technical Aptitude: No prior CRM experience is required, but you must have a strong willingness and aptitude to learn HubSpot and Salesforce.
- Problem-Solving: Calm under pressure—able to troubleshoot logistical hiccups (delayed shipments, last-minute vendor or registration changes) swiftly and remotely.
