Role Overview

We are seeking a highly organized, proactive, and resourceful Office & Facilities Manager to provide comprehensive administrative and operational support ensure that our team, office, and guests are supported at the highest level. The ideal candidate will be a strong communicator, thrive in a fast-paced environment, and bring a balance of professionalism, discretion, and approachability.

What You’ll Do

  • Front-of-house & daily operations
  • Serve as the first point of contact for the office - greet guests and maintain a professional, positive, friendly atmosphere.
  • Manage front-desk coverage.
  • Process incoming/outgoing mail and packages
  • Order and maintain office supplies and pantry/kitchen stock.
  • Maintain office systems and day-to-day administrative workflows.
  • Monitor area for relevant building or neighborhood announcements (e.g., inclement weather, operational interruptions, etc.)
  • Office environment & brand standards
  • Ensure the office is clean, organized, and visually aligned with company brand standards for both staff and visitors.
  • Manage signage, common area presentation, and seasonal or event-based décor in line with brand standards
  • Coordinate space planning and desk/seating assignments as headcount needs change
  • Facilities & Vendor Management for headquarters
  • Partner with vendors (cleaning, maintenance, food/beverage) to schedule services and repairs.
  • Oversee building systems (HVAC, plumbing, electrical) coordination with landlord/building management.
  • Process facilities- and office-related invoices; track and manage related budgets.
  • Negotiate and manage vendor contracts and service agreements; evaluate vendor performance.
  • Maintain relationships with building management/landlord on lease-related operational matters.
  • Employee Experience & Engagement
  • Coordinate catering needs for team & guest visits
  • Support employee engagement activities (holiday parties, office celebrations), which may require staying after typical office hours
  • Support onboarding logistics for new hires in coordination with HR (welcome materials, office tours, workspace setup, equipment as needed).
  • Budget & Administration
  • Own and manage the office and facilities spend
  • Identify cost-saving opportunities across vendor contracts and office operations.
  • Maintain accurate records for insurance, asset inventory, and equipment maintenance schedules.

What we're looking for

  • 3+ years of experience in office management, facilities management, or a related administrative role.
  • Strong organizational skills with the ability to manage multiple priorities and last-minute requests.
  • Excellent interpersonal and communication skills; comfortable as the face of the office.
  • Experience managing vendor relationships, contracts, and budgets.
  • On-site, full-time presence in our SoHo location required

Salary Range

$60,000—$75,000 USD
