Job Description Summary:

The purpose of this role is to provide general administrative and clerical support to the Materials Management Distribution Service line. This Materials Clerk role performs detailed and responsible clerical duties in a fast-paced environment. Typical responsibilities include chart management, data collection and entry, forms management, time card management, staff scheduling, staffing arrangements, clinical order and result processing and inter/intra-departmental communications. Assists or oversees various functions within the Pyxis automated systems.

Job Specifications:

Education:

  • High School diploma, or GED required or equivalent Associate’s Degree preferred. May substitute two years’ experience for degree.

Experience:

  • The following experience is preferred: the equivalent of two years full-time experience performing medical-clerical duties that include patient chart management, in-patient admission procedures, data collection and entry, staffing arrangements, clinical order and result processing and interdepartmental communication and coordination.

License and Certifications:

  • Integrative Agitation Management (IAM) Required within 30 days of hire

Prerequisite Skills:

  • Accurate typing at 35 WPM.
  • Proficiency in computer operation/windows applications.
  • Knowledge of medical terminology and equipment.
  • Knowledge of data entry procedures.
  • Knowledge of ordering and inventory systems.
  • Ability to handle and accurately maintain a filing system.
  • Ability to handle a large volume of detailed work in a timely manner.
  • Ability to establish priorities and maintain a calm demeanor while working in an atmosphere of conflicting demands.
  • Ability to communicate clearly, and work tactfully and effectively with patients, visitors, physicians, co-workers and other hospital staff.
  • Ability to work effectively as a team member and contribute positively towards the goals of the team and the organization.
  • Ability to read, speak, write, understand and follow English verbal and written instructions.

Duties And Responsibilities:

Essential (Not Modifiable)

  • Responsible for charge management for Central Stores.
  • Performs daily Storeroom item replenishment.
  • Answers department phones.
  • Delivers product and supplies to departments.
  • Stocking, refilling, delivering, storing, issuing and charging emergency and specialty carts.
  • Manage “Durable Medical Equipment” (DME) obtain, deliver to departments, documents, communicate with departments and DME vendors.
  • Manage rental beds and equipment: order communicate delivery time, discontinue, charge, and approve invoices work with Accounts Payable and equipment rental vendors.
  • Deliver medical equipment to patient rooms and standby locations, retrieves soiled equipment, cleaning and processing of equipment, conducting equipment tracking rounds throughout patient rooms and recording all activities.
  • Deliver the medical equipment inventory, maximizing equipment utilization, in-servicing clinical staff and maintaining detailed customers records (billing information and other info as appropriate).
  • Processes order results and performs other data entry/processing via unit-based computer and manual systems.
  • Acts as the department liaison with our customers ensuring that service expectations are being met.
  • Maintains departmental manuals and logs, records, filing systems and forms. Enters departmental and selected ancillary charges/credits and reconciliation procedures.
  • Collects and compiles unit statistical and Utilization Review data.
  • Serves as support person for hospital established computer system troubleshooting system issues as reported by departments. Monitors error report for system discrepancies
  • Performs location Profile management.
  • Performs or directs cycle counts in main storeroom adjusting inventory as identified.
  • Assists supervisor in staffing procedures, including call off lists, time off requests, and time and pay records. Collaborates with staff on work schedules.
  • Provides timely verbal and written communications within team.
  • Trouble shoots, monitors and provides simple maintenance for printers, fax and photocopying machines.
  • Adheres to hospital service standards and behaviors.
  • Assists visitors, hospital staff and other individuals by answering questions and providing information. Effectively screens and handles telephone calls.

Secondary (Modifiable)

  • Fills in for Materials Technicians and Materials Receiving Specialist for call-ins, vacations, and leaves of absence (LOA) manpower shortages.
  • Other duties as assigned.

The posted pay range complies with applicable law and reflects what we reasonably expect to pay for this role. Individual pay is set by skills, experience, qualifications, and internal/market equity, consistent with MarinHealth’s compensation philosophy. Positions covered by collective bargaining agreements are governed by those agreements.
