OrangeTwist is seeking a Zenoti Administrator to manage, configure, and continuously optimize our Zenoti platform, the system of record for point-of-sale (POS) and electronic medical records (EMR) across all OrangeTwist locations. This role owns platform configuration, security roles and permissions, POS and consumables setup, EMR/clinical workflow support, and day-to-day technical support — ensuring a consistent, efficient, and compliant experience for providers, staff, and clients as OrangeTwist grows.

• Platform Administration & Configuration: Own the daily configuration, maintenance, and optimization of Zenoti across all OrangeTwist locations, including the appointment book, EMR, invoicing, and core system settings.
• Security & Access Management: Build, assign, and audit HIPAA-compliant security roles and permissions, ensuring providers, managers, and staff have appropriate access to patient records and EMR data across centers.
• EMR & Clinical Workflow Support: Configure and maintain digital clinical charts, consent forms, digital intake forms, and treatment packages to support providers, estheticians, and clinical staff.
• Service Menu & Pricing Standardization: Standardize service menus, pricing tiers, packages, and promotions across all locations to ensure consistency and compliance with brand and pricing standards.
• Manage retail and backend consumables and synchronization with other integrated platforms.
• Marketing & Loyalty Automation: Manage gift card programs, membership structures, and automated marketing and loyalty campaigns configured within Zenoti.
• Reporting & Analytics: Build and maintain dashboards and reports tracking multi-site performance, provider utilization, membership sales, and gift card liability.
• Technical Support & Training: Serve as the primary point of contact for Zenoti-related support tickets; troubleshoot software issues and train new staff and locations on system best practices.
• New Location Onboarding: Develop and execute standardized deployment playbooks to configure and onboard newly opened or acquired locations onto the centralized Zenoti instance.
• Change Management: Communicate configuration changes, system updates, and new feature rollouts to stakeholders, and lead related staff training and adoption efforts.

Qualifications:

· 2–4+ years of hands-on experience configuring and administering Zenoti, or a comparable SaaS booking/POS/EMR platform, ideally within a multi-location medspa, dermatology, or salon environment.

· Practical knowledge of HIPAA compliance requirements and best practices for safeguarding Electronic Medical Records (EMR) within a cloud-based software environment.

· Strong background in IT support, system configuration, user/role management, and general database or workflow troubleshooting.

· Experience configuring point-of-sale, inventory, and pricing structures consistently across multiple business locations.

· Excellent communication and change management skills, with the ability to roll out configuration changes, new features, and standardized training to staff across locations.

· Detail-oriented with strong organizational and project management skills; able to manage multiple locations and priorities simultaneously.

· Bachelor’s degree in Business, Information Technology, Healthcare Administration, or a related field preferred, or equivalent practical experience.
