What you'll be doing:
- Coordinate daily office operations and administration to ensure an organized and efficient workplace.
- Manage reception and front-of-house services, including visitors, calls, mail, couriers, and deliveries.
- Support meetings, visitors, and office events, including rooms, AV equipment, badges, catering, and other logistics.
- Coordinate approved business travel and accommodation for employees and visitors as required.
- Manage office supplies, equipment, and property records, including ordering, inventory, and maintenance.
- Support facilities and vendor management, working with landlords and service providers on maintenance, cleaning, repairs, and other office services.
- Coordinate new starter workplace requirements with IT, People Services, and other relevant teams.
- Provide basic Finance support, including invoice processing, Accounts Payable, office expenses, petty cash, and financial documentation, while liaising closely with the local accountant to support accurate and timely accounting processes.
- Provide local People Services administrative support, including employee documentation, attendance, and benefits administration, as required.
- Maintain office records and procedures, resolve day-to-day issues, and identify opportunities for improvement, escalating significant issues when needed.
- Handle confidential information appropriately and follow company policies, procedures, and local requirements.
What we are looking for:
- General education qualification or equivalent.
- Minimum 3 years of experience in office coordination, reception or facilities; Experience working in a Contract Research Organization (CRO) company is an advantage.
- Experience supporting office/reception and facilities operations in a busy office environment.
- Basic finance knowledge and experience working with vendors and service providers.
- Good Microsoft Office skills, particularly Excel, Word and PowerPoint.
- Fluent written and spoken English and relevant local language(s).
- Strong organizational, communication and problem-solving skills, with the ability to multitask, work independently and provide excellent customer service to internal and external stakeholders.
This position is office based working from our Sofia location.
