Title: CPT-11712 Construction Permitting & Production Administrative Virtual Assistant

Independent Contractor – CPT-11712 Construction Permitting & Production Administrative Virtual Assistant/Business Support VA/Entry-Senior Level (Remote).

Overview

20four7VA is seeking offshore independent contractors to deliver remote services to clients worldwide, with a primary focus on developed markets such as the United States, the United Kingdom, Canada, and Australia.

A growing Florida construction company specializing in luxury outdoor living projects is seeking a Business Support VA to assist with permitting, production administration, materials coordination, and construction project documentation.

The company primarily handles residential projects, including pergolas, screen enclosures, and outdoor living improvements, with occasional commercial work.

The ideal candidate will bring construction-related administrative experience, strong organizational skills, and familiarity with permitting or project coordination. The position will primarily support back-office operations rather than customer-facing service or sales.

The objective of each engagement is to assist the client in improving business efficiency, enhancing service delivery, or supporting operational functions through high-quality, task-specific services rendered by a qualified contractor.

  • Follow up with permitting offices regarding missing documents and administrative questions
  • Maintain organized permit records, correspondence, and inspection-related information
  • Document jurisdiction-specific permitting procedures as they are learned

Production & Project Administration

  • Prepare and organize project folders before jobs move into production
  • Maintain project records, checklists, and required supporting documentation
  • Track outstanding administrative items that could affect project readiness
  • Coordinate routine updates with office staff and production personnel
  • Flag missing approvals, documents, or other issues that may delay scheduled work

Materials & Vendor Coordination

  • Assist with purchasing administration using approved material lists and vendor information
  • Track material orders, availability, and expected delivery dates
  • Follow up with vendors and suppliers regarding outstanding orders
  • Help confirm that materials are scheduled to arrive before planned crew activity
  • Organize purchasing documentation and supplier communications
  • Communicate potential material delays to the appropriate team members

Each engagement is based on a defined scope of work and is governed by an independent contractor agreement. Services must be performed professionally, with adherence to any timelines, guidelines, and deliverables agreed upon in writing.

Skills

The Contractor must demonstrate proficiency in the following, depending on the Client’s requirements:

  • Construction administration, project coordination, or related experience strongly preferred
  • Permitting, municipal portal, or construction documentation experience strongly preferred
  • Strong administrative and data-entry accuracy required
  • Experience supporting U.S. residential construction companies strongly preferred
  • Materials purchasing, vendor coordination, or production scheduling experience preferred

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
