Job Description:

The Real Estate & Construction Operations Coordinator maintains accurate and timely information across the systems used by our Store Planning, Real Estate, and Construction teams. Serving as the primary point of contact for day-to-day system information and processes, this role supports process completion, adherence, and cross-functional alignment.

What will you be doing?

Memo Processing

  • Convert projects and upload all required approval documentation.
  • Create and maintain project schedules, partnering with cross-functional teams to align key dates before initial submission and update schedules as timelines change.
  • Prepare and submit Capital Budget Requests (CBRs), ensuring estimates and approvals align, tracking approval status, escalating issues as needed, and updating systems upon approval.
  • Partner with the Finance team to validate project details, financial accuracy, and alignment with the approved capital plan prior to submission.
  • Review, submit, and upload approved PeopleSoft budgets to ensure system accuracy and compliance.

Administrative

  • Run monthly reports and import/update project data as needed.
  • Conduct ongoing audits to identify and resolve discrepancies between communicated project information and data reflected in Lucernex and other project management systems.
  • Complete monthly Cost-to-Complete (CTC) reports for approximately 35 active projects.
  • Set up and onboard new Lucernex users, including internal project team members and external vendors.
  • Create Sphere XG projects based on weekly project status, reporting, and documentation updates.
  • Perform bi-monthly project audits to ensure data accuracy, completeness, and compliance with established processes.

Team Alignment

  • Attend weekly New Project Pass meetings to support project intake and alignment.
  • Participate in weekly bidding meetings, updating Lucernex user access, project dates, and related information as needed.
  • Contribute to weekly project update meetings by sharing relevant project information, raising questions, and supporting issue resolution.
  • Participate in bi-weekly team meetings to provide updates, collaborate on priorities, and support team communication.
  • Monitor project KPIs, maintain project status visibility, and flag projects requiring review due to timeline risks, turnaround concerns, or urgent off-cycle requests.
  • Partner with cross-functional partners to ensure consistent processes, requirements, and project information throughout the project lifecycle.

Day-to-day breakdown:

~70% Routine Administrative Activities: Execute recurring administrative tasks that support project management processes, reporting, data maintenance, system updates, and documentation management.

~20% Ad Hoc Project Support: Respond to project-related requests, answer stakeholder questions, assist with user setup, and provide basic system onboarding and training for new users.

~10% Process Review & Continuous Improvement: Identify process gaps, recommend enhancements, and support ongoing efforts to improve efficiency, accuracy, and consistency across project and system workflows.

  • Ability to adapt communication and support to different stakeholders, understanding varying partner needs while maintaining alignment to core processes and requirements.
  • Growth mindset and continuous improvement focus, consistently seeking opportunities to enhance processes, streamline workflows, and improve information sharing.
  • Strong self-management skills, including the ability to monitor workload, manage competing priorities, and proactively seek support when needed.
