Group Sales Coordinator

You’ll draft the contracts, build the room blocks, manage the details and keep every group file perfect, so our Sales Managers can spend their time with clients, closing business. Job Description

What you will be doing:

Reporting to the Director of Group Sales, responsibilities and essential job functions include but are not limited to the following:

Power the sales process

  • Draft contracts, proposals and amenity packages with accuracy and polish.
  • Build and maintain group room blocks in Opera Sales & Catering and manage cut-off dates.
  • Create and maintain complete group files, including contracts, rooming lists, billing information, recaps and checklists.
  • Track rooming lists and billing information so everything arrives on time.
  • Prepare site inspection itineraries and coordinate on-property visits for prospective clients.

Be the first point of contact

  • Answer sales lines professionally and screen new inquiries, gathering the details Sales Managers need.
  • Follow up with clients by phone and email when Sales Managers are unavailable.
  • Build relationships with group contacts from contract through arrival.

Keep the team running

  • Make guest room reservations through Reservations and dining reservations through OpenTable for the Director of Sales & Marketing and Group Sales Managers.
  • Prepare and distribute sales materials, documents and gift certificates.
  • Manage department supplies, business card orders, and system access and IT requests.
  • Handle every task with one goal: giving Sales Managers maximum time with their customers.

Qualifications

Your experience and skills include:

  • Previous administrative or office experience in a detail-oriented role
  • Luxury hotel or resort experience is preferred
  • Experience with Opera Sales & Catering or a similar sales and catering system is preferred
  • Outstanding organization; able to juggle multiple deadlines in a fast-paced environment
  • Polished written and verbal communication, including professional phone skills
  • Self-motivated, able to make sound decisions on your own and build efficient systems
  • Able to handle confidential information with discretion
  • Proficient in Microsoft Office; typing speed of at least 40 words per minute
  • Fluent spoken and written English; additional languages are an asset
  • A hospitality diploma or degree is an asset
