ABOUT AITEXEL

AiTexel Photonics is a venture-backed, stealth-mode deep-tech company in Singapore, spun out of a leading research university. We build next-generation manufacturing technology for integrated photonics — the interconnect fabric of AI compute. We are a small, senior team working on hard technology at commercial speed, with active engagement across Tier-1 industry partners, investors, and government agencies.

THE MANDATE

The CEO and CTO run a company whose week spans foundry partners, investors, university and government counterparts, legal counsel, and a growing technical team. At this stage, precision in scheduling, follow-through, and written communication is not administrative overhead — it is how a small company operates at the standard of a much larger one. You will own that precision.

This is a builder's version of the executive assistant role: the secretarial fundamentals executed flawlessly, plus real operating responsibility that expands as fast as you can carry it. Done well over 18–24 months, this seat is a direct track to an operations leadership role.

WHAT YOU WILL OWN

  • Calendars, travel, and meeting logistics for the CEO and CTO across time zones — zero-defect, always one step ahead.
  • Front-of-house for external stakeholders: scheduling and correspondence with investors, industry partners, and university and government counterparts, handled with judgment and discretion.
  • Meeting operations: agendas circulated in advance; notes and action items captured in Notion the same day; follow-ups chased to closure.
  • AI-augmented execution: build and run Claude-based workflows for drafting, meeting preparation, research summaries, and document QA. You are expected to make the leadership team measurably faster.
  • Document discipline: version control, naming conventions, and confidentiality handling for board, investor, and legal materials.
  • Visits and events: end-to-end run-of-show for partner visits, technical reviews, and off-sites.
  • Company operations support: onboarding logistics for new hires, vendor and procurement administration, and coordination with our corporate-secretarial and finance providers.

WHAT EXCELLENCE LOOKS LIKE

  • First 90 days: the CEO's and CTO's weeks run without collisions or dropped items; every meeting has notes and tracked actions within 24 hours; you have automated at least two recurring workflows with Claude.
  • By 12 months: external stakeholders treat you as a trusted, senior point of contact; you independently run defined operating processes — hiring logistics, visit programmes, reporting cadence — and your remit has visibly expanded.

WHO DOES WELL HERE

  • 2–3 years of full-time experience in a demanding environment — consulting, banking, a fast-growing startup, a top research group, or an executive-support seat with a genuinely high bar. Fresh perspective is welcome; low standards are not.
  • Written English at publication quality — English is the company's working language and the language of all external correspondence. Your emails to CEO-level counterparts go out without edits.
  • Daily, fluent use of AI tools (Claude or equivalent) — not merely aware of them, but demonstrably building workflows with them.
  • Discretion as a reflex. You will handle confidential technical, financial, and legal material from day one and will sign strict confidentiality undertakings.
  • Composure and finesse with senior external stakeholders; high EQ, low ego.
  • Structured, fast, and reliable under ambiguity; you close loops without being chased.
  • Working proficiency with Notion (or equivalent) and modern office tooling.

VALUED BUT NOT REQUIRED

  • Exposure to semiconductors, photonics, hardware, or the deep-tech venture ecosystem.
  • Proficiency in Mandarin — a number of our regional industry counterparts operate primarily in Mandarin, and it assists with scheduling and correspondence with them.
  • Prior experience supporting founders or C-level executives.
