Allen County Job Description SPECIAL DEPUTY/BAILIFF  Department: ACJC Classification/Level: Part-Time FLSA Status: Non-exempt Date: 10/2025  Under the direction of the Assistant Director of Training & Security, the Special Deputy/Bailiff provides for the safety of all staff, offenders and visitors in and around the Allen County Juvenile Center and the regional probation offices and enforces all rules and regulations of the agency and individual programs ensuring compliance by all persons entering the buildings. This position is covered under the Superior Court Employee Handbook. This is an employee-at-will position. ESSENTIAL FUNCTIONS:  • Acts as the first responder to any threat or danger to staff, offenders, visitors, or the building. Visually inspects all persons entering ACJC and/or regional field offices and removes anyone who possesses a danger. Operates x-ray machine and hand metal detectors, as well as conducts pat down searches as deemed appropriate to ensure the person does not possess weapons, contraband and/or other illegal or prohibited items. • Provides security and bailiff duties for assigned courtrooms. Responsible for notifying parties of hearing location and delivering juveniles to the appropriate courtroom. Calls cases to Court and issues personal property to parents/legal guardians. Assists with taking juveniles and adults into custody per Court Order. • Monitors distress panels and respond to distress calls. Responds to conflicts between juveniles and/or adults within the center, sometimes using physical restraint. Responds first to medical emergencies in public areas and provides appropriate actions. Call 911 and escorts emergency personnel. • Monitors ACJC and/or regional field office buildings using video surveillance and/or visually inspects the buildings to ensure safety and compliance to buildings and program rules. • Answers telephone and greet clients and their families; determines nature of calls and/or office visits and provides assistance and/or refers call and/or visitors to appropriate person; monitors lobby and supervise juveniles and their families as they wait for probation appointments; maintains order in the lobby and addresses issues as necessary. • Actively supports probation officers with crisis intervention matters when confronted with volatile family and juvenile delinquency situations; assists probation officers with supervising juveniles doing community service work at the office; documents contacts/information from clients and/or family if probation officers are not available. • Responsible for entering appropriate information into Quest case management system including juvenile and attorney check-in and visitor log. Issues and documents Probation and Detention release forms. Continually updates files and records in the Quest system to reflect changes in status and/or personal history and shreds outdated confidential information; scans outside correspondence into Quest; enters drug screen information into Quest. • Notifies warrants of adult custody, transport needs, and escorts the adult to sally-port for transport. Assists with transporting juveniles outside of the building for court and/or medical appointments. • Maintains weapon lockers in security office. Required to qualify and carry County issued firearm and/or an electroshock weapon such as a “Taser”. • Assists in the collection of urine samples and/or alcohol breath tests upon the request of the Judicial Officer and/or Probation Department. ESSENTIAL FUNCTIONS (continued): • Receives items for juveniles such as medication, glasses, retainers, HSE or stamp money, and provides receipts for items received. • Manages office supplies and submits orders as needed; manages office equipment and notifies supervisor if maintenance needed; manages other supplies (drug testing cups and labels, cleaning products, etc.) and submits orders as needed; assists probation officers with day to day office maintenance which may require minor cleaning such as vacuuming, dusting, emptying trash, wiping down kitchen and/or bathrooms, etc. • Performs all other duties as assigned or required by law, including overtime as required. REQUIREMENTS: • High School Diploma or GED • Two years of policing, corrections and/or military training/experience • Valid Indiana Gun Permit • Ability to become certified in Defensive Tactics, OC Spray and Electroshock Weapons • Ability to complete and maintain Firearms Qualifications • Valid Driver’s License in order to assist with transporting juveniles • Valid CPR/AED and First Aid Certification • Ability to become trained and sworn as a Special Deputy for the Allen County Sheriff’s Department • Strong problem-solving skills, with the ability to apply procedures, rules and regulations of the department in a practical manner to maintain effective court building security • Knowledge of Criminal Justice System includes a practical knowledge of area law enforcement and court procedures to ensure compliance with policy and procedures. • Strong verbal and written communication skills, with the ability to deal with irritated, rude, frustrated people with tact and attempting to diffuse situations. Treating people of different backgrounds with courtesy and respect • Ability to write detailed reports based upon public disturbances and juvenile misconduct • Ability to use pepper spray, handcuffs, handguns, x-ray machine, emergency restraint chair and other job-related equipment • Strong computer skills, with knowledge of Microsoft Office, as well as software programs Quest and Spillman • Must be at least 21 years of age • Ability to maintain strict confidentiality • Ability to pass a psychological examination by a Court designated psychologist • Ability to operate standard office equipment such as computer, shredder, fax, printer, scanner and multi-line telephone system • Ability to use OC pepper, handcuffs, handcuff key, portable breath test machine, handgun, electroshock weapon, Rapiscan x-ray machine, Garrett metal detector, emergency restraint chair and handheld radio    PERFORMANCE EXPECTATIONS: The Special Deputy/Bailiff performs work that requires an understanding of, and ability to make practical application of customary practices, rules and regulations, as well as procedures and techniques that are directly relevant to the assigned guidelines. Requires application of a moderately complex of technical or specialized knowledge when visually inspecting all persons entering ACJC and regional offices, operating x-ray machines, metal detectors and performing pat down searches as deemed appropriate.   RESPONSIBILITY: The Special Deputy/Bailiff performs work that requires some analysis and judgment, or selection of applicable methods and procedures when monitoring distress panels and responding to distress call, as well as when responding to conflicts between juveniles and/or adults within the center, sometimes using physical restraint.    PERSONAL WORK RELATIONSHIPS: The Special Deputy/Bailiff maintains frequent contact with the public, other County employees and juvenile offenders and their families when preserving order and protecting property at the Allen County Juvenile Center.    WORKING CONDITIONS: The Special Deputy/Bailiff works in a juvenile center, courtroom setting and the department’s regional probation offices with frequent standing, some sitting and the ability to move about freely. Frequent lifting of over sixty pounds, bending, pushing/pulling, kneeling, typing, attention to detail, monitoring of equipment, detailed inspection and proofreading exist. The Security Officer is sometimes exposed to dangerous equipment, extreme temperatures, chemicals and noise and frequently interacts with potentially dangerous and/or violent offenders and their families.    SUPERVISION: None    LICENSING: Valid CPR/AED and First Aid Certification Ability to complete and maintain certification in Defensive Tactics, OC Spray, Electroshock Weapons and Firearms Valid Indiana Driver’s License Valid Indiana Gun Permit    IMMEDIATE SUPERVISOR: Assistant Director of Training & Security    HOURS: Part-Time hours vary; evenings required; 29 hours/week; overtime as required    EEO CATEGORY: 1104    WORKERS’S COMP CODE: 7720    I agree that the contents of this job description are a fair and accurate representation of the duties of this position being described.
