About the Role
We are seeking a highly organized, proactive Sales Operations Coordinator to support our USA Beauty & Personal Care commercial team.
We have a strong commercial team in place and are looking for the right individual to help support our continued growth and scale. This role will serve as a key partner to the sales organization by providing the coordination, structure, and operational support needed to keep a fast-moving commercial team running effectively.
While this position includes important administrative and back-office responsibilities, it is far more than a traditional support role. The Sales Operations Coordinator will play an active role in managing inbound opportunities, coordinating quotation workflows, maintaining CRM and pipeline integrity, supporting post-quote execution, and improving the internal processes that enable commercial success.
The primary focus of this role is providing exceptional support to both the sales team and our clients. The successful candidate will be responsive, resourceful, and service-oriented, with a genuine interest in helping others resolve questions, coordinate next steps, and move work forward. They will bring a strong sense of ownership, look beyond the immediate task, and identify practical ways to support the broader team.
This role also works closely with colleagues across a global and distributed team environment. Success will require strong communication skills, confidence participating in virtual meetings, and the ability to collaborate effectively across time zones and keep work moving forward asynchronously when needed.
Hourly Rate: $26-$29

- Maintain visibility of incoming opportunities and support effective follow-up throughout the opportunity lifecycle.
- Serve as a key coordination point between clients, sales representatives, operations, laboratory teams, clinic operations, and finance.
- Help resolve questions, identify the appropriate next steps, and escalate issues when needed.
Quotation and Post-Quote Coordination
- Coordinate the preparation and submission of client quotations in partnership with sales, technical, and operational teams.
- Track quotation progress and follow up with stakeholders to support timely delivery.
- Maintain organized records of quotations, proposals, and supporting commercial documents.
- Following signed quotations, coordinate activities that support a smooth transition from commercial agreement to study initiation.
- Help facilitate purchase order, invoicing, study scheduling, and sample-shipment coordination.
CRM, Systems, and Operational Tracking
- Maintain accurate and complete client, opportunity, communication, and project records in the CRM system; Salesforce experience is preferred.
- Support strong pipeline data quality to improve commercial visibility, reporting, and forecasting.
- Build and maintain practical trackers, spreadsheets, dashboards, and operational KPIs that help the team stay organized and informed.
- Use Excel, CRM tools, and other systems to maintain clear visibility of opportunities, quotations, project activity, and client needs.
- Help identify inconsistencies, gaps, and follow-up requirements in commercial data and workflows.
Process Improvement and Cross-Functional Coordination
- Identify opportunities to improve commercial processes, workflows, and internal communication.
- Help introduce practical tools and documentation that improve consistency, transparency, and responsiveness.
- Support onboarding and training for new team members on commercial systems, CRM usage, and sales support processes.
- Contribute to special projects and evolving operational needs across the commercial organization.
NOTE: Occasional quarterly travel may be offered, but is not required, providing opportunities for in-person connection with colleagues and the broader commercial team.
Qualifications
- Associate’s or Bachelor’s degree in Business Administration, Communications, or a related field preferred, but not required.
- Previous experience in business operations, customer service, sales support, administrative coordination, or a related role. Early-career experience and internships will be considered.

- The ability to build strong relationships and become a reliable point of contact for both internal and external stakeholders.
- A proactive, solutions-oriented approach to resolving questions, coordinating next steps, and keeping work moving forward.
- Strong organization, attention to detail, and follow-through across multiple requests and priorities.
- Confidence working independently, paired with sound judgment about when to ask questions, involve others, or escalate an issue.
- Comfort working with CRM systems, Excel, spreadsheets, trackers, and reporting tools to organize information and support effective execution.
- The ability to create clear, practical operational tools that improve visibility, consistency, and follow-up.
- Experience working with global, remote, or cross-functional teams, including comfort collaborating across time zones and in virtual meetings.
