Job Summary

You will provide administrative and operational support to the sales team, ensuring accurate and timely processing of customer orders and sales documentation.

Responsibilities

  • Prepare accurate quotations, sales orders, and related sales documentation to support sales activities
  • Process customer orders thoroughly and track progress until completion to ensure customer satisfaction
  • Coordinate with customers to clarify order details, requirements, and delivery arrangements
  • Liaise effectively with Sales, Operations, Warehouse, and Finance teams to ensure smooth order fulfilment
  • Maintain up-to-date and accurate records of customers, quotations, and sales orders for reporting and audit purposes
  • Assist in preparing invoices and compiling supporting documentation for billing accuracy
  • Follow up on outstanding customer documents and administrative requirements to prevent delays
  • Respond promptly and professionally to customer enquiries to maintain positive relationships
  • Prepare sales reports and administrative schedules to support sales management decisions
  • Organize and maintain proper filing and documentation systems for easy retrieval and compliance
  • Provide general administrative support to the sales team to enhance operational efficiency
  • Perform other related duties as assigned to support team and business needs

Preferred competencies and qualifications

  • Relevant experience in sales administration, customer service, or administrative support
  • Proficient written and verbal communication skills to interact with customers and internal teams
  • Proficiency in Microsoft Office applications, especially Excel and Outlook, to manage data and communication
  • Detail-oriented and organized to handle multiple orders, priorities, and deadlines effectively
  • Experience using ERP or accounting systems to support order processing and financial accuracy
  • Familiarity with Microsoft Dynamics 365 Business Central is advantageous
