The posting

Order Management Specialist with German- mid/senior

Responsibilities:

  • Coordinate new customer onboarding, including vendor registration, documentation, and customer relationship management.
  • Manage customer-specific product listings and ensure accurate product data and compliance with retailer requirements.
  • Oversee order processing and fulfillment, ensuring orders meet customer requirements. Support and train the China-based Customer Service Representative (CSR) team on customer-specific procedures.
  • Collaborate with Sales teams and customers to coordinate replenishment plans, stock availability, and inventory allocation.
  • Liaise with third-party logistics (3PL) providers and customers to resolve shipping and fulfillment issues, coordinating value-added services such as co-packing, labeling, palletizing, and display assembly.
  • Ensure accurate invoicing and compliant documentation in line with customer and country-specific requirements.
  • Monitor payment statuses, support accounts receivable reconciliation, and assist in resolving billing disputes.
  • Identify operational challenges, improve processes, and respond to customer inquiries while providing administrative and operational support to the team.

Requirements:

  • High school diploma or equivalent.
  • 1–3 years of experience in Customer Service, Order Management, or Customer Operations in a B2B environment.
  • Understanding of order processing, logistics coordination, and customer requirements.
  • Experience in FMCG, the toy industry, or working with major retailers is an advantage.
  • Strong communication, organizational, multitasking, and problem-solving skills.
  • Languages: Fluency in English & German is essential.
