Project Manager / Transition & Process Improvement Coordinator (Order Management)

About the Role

We are seeking an experienced and results-driven Project Manager / Transition & Process Improvement Coordinator to lead transition, transformation, and continuous improvement initiatives within the Order Management function. This role is responsible for managing end-to-end transition projects, coordinating cross-functional stakeholders, and driving process optimization efforts that enhance operational efficiency, service quality, and customer satisfaction.

The successful candidate will act as a bridge between business, operations, technology teams, and clients, ensuring smooth project delivery while identifying opportunities for process improvement and operational excellence. This position is ideal for professionals who combine strong project management capabilities with a passion for business transformation and continuous improvement.

Key Responsibilities

Project & Transition Management

  • Lead end-to-end transition projects, including process migrations, service transfers, and operational transformations within the Order Management organization.
  • Develop and manage detailed project plans, timelines, governance structures, and implementation roadmaps.
  • Coordinate project activities across multiple functions, including Order Management, Customer Service, Supply Chain, Logistics, Finance, Procurement, and IT.
  • Monitor project progress, manage risks and dependencies, and ensure timely delivery of agreed milestones.
  • Facilitate stakeholder meetings, steering committees, project reviews, and status updates.
  • Ensure successful knowledge transfer, documentation, training, and operational readiness during transition phases.
  • Manage hypercare activities and stabilization periods following project implementation.
  • Support change management activities to ensure smooth adoption of new processes and operating models.

Process Improvement & Transformation

  • Identify, assess, and implement process improvement initiatives across the Order Management function.
  • Analyze current business processes and recommend opportunities for simplification, automation, standardization, and efficiency gains.
  • Facilitate process mapping workshops, root cause analyses, and continuous improvement initiatives.
  • Drive transformational projects focused on operational excellence, customer experience, quality, and productivity enhancements.
  • Establish and monitor KPIs to measure process effectiveness and project success.
  • Support automation initiatives and digital transformation projects in collaboration with technology teams.
  • Promote a culture of continuous improvement and best practice sharing across teams.
  • Deliver measurable business benefits through process optimization and operational enhancements.

Stakeholder & Client Management

  • Act as the primary point of contact for internal and external stakeholders throughout project lifecycles.
  • Build strong relationships with business leaders, clients, and operational teams.
  • Manage stakeholder expectations and ensure effective communication throughout all project phases.
  • Present project updates, improvement recommendations, and business cases to senior leadership.
  • Collaborate with global teams to align processes, standards, and project objectives.

Qualifications

  • Bachelor's degree in Business Administration, Supply Chain Management, Operations Management, Project Management, or a related field.
  • Minimum 3-5 years of experience in Project Management, Transition Management, Business Transformation, Continuous Improvement, or Operational Excellence roles.
  • Experience working within Order Management, Customer Operations, Shared Services, BPO, Consulting, or Supply Chain environments.
  • Strong understanding of Order-to-Cash (O2C) and Order Management processes.
  • Proven track record of successfully managing cross-functional projects and transformation initiatives.
  • Experience leading process improvement projects and implementing operational efficiencies.
  • Excellent stakeholder management and communication skills.
  • Strong analytical and problem-solving capabilities.
  • Ability to manage multiple projects simultaneously in a fast-paced environment.
  • Advanced English language skills, both written and spoken.

Preferred Qualifications

  • PMP, Prince2, Agile, Lean, Six Sigma, or equivalent certification.
  • Experience in a consulting, outsourcing, or shared services environment.
  • Knowledge of ERP systems such as SAP, Oracle, Microsoft Dynamics, or comparable platforms.
  • Experience with process automation, workflow optimization, or digital transformation projects.
  • Familiarity with business process management and continuous improvement methodologies.
