Är du den som ser till att möten blir bokade, protokoll skrivna och åtgärdspunkter faktiskt följs upp? GreenGrit söker nu en erfaren administratör till ett långt konsultuppdrag hos en myndighet i Sundbyberg. Du blir ledningsgruppens och chefernas administrativa stöd på en avdelning som driver stora tekniska projekt, och du ingår samtidigt i ett team av administratörer på divisionen som stöttar varandra och delar kunskap. Det här kommer du att arbeta med Du stödjer avdelningens chefer i det dagliga administrativa arbetet, bland annat med:

Mötes- och konferensbokningar samt planering av möten och workshops

Att skriva underlag och kommunikationsmaterial

On-, off- och changeboarding av medarbetare

Beställningar av olika slag, till exempel catering, kontorsmaterial och IT

Att administrera och strukturera Sharepoint-ytor

Viss fakturahantering

Som stöd till ledningsgruppen planerar du möten med agendor och bokningar, skriver mötesprotokoll, följer upp åtgärdspunkter och håller avdelningens årshjul för återkommande aktiviteter uppdaterat. Vem söker vi? Du är en van administratör som trivs nära chefer och beslut. För att vara aktuell behöver du uppfylla följande:

Examen från yrkeshögskola eller högskola/universitet, till exempel inom IT, kommunikation eller administration

Minst 5 års erfarenhet av kvalificerade administrativa arbetsuppgifter såsom mötes- och konferensbokningar, beslutsunderlag och informationsmaterial, planering av agendor och workshops, fakturahantering och beställningar

Minst 5 års erfarenhet av att arbeta i MS Office, med Excel, Word, PowerPoint och Outlook

Minst 3 års erfarenhet av att dokumentera styrgruppsmöten eller liknande beslutande forum

Minst 3 års erfarenhet som administrativt stöd åt chefer

Du uttrycker dig flytande, tydligt och professionellt på svenska i tal och skrift, eftersom du skriver protokoll, beslutsunderlag och kommunikationsmaterial på svenska åt ledningsgruppen

Som person är du serviceinriktad, ödmjuk och har lätt för att skapa förtroende. Du tar egna initiativ, samarbetar bra och anpassar dig efter arbetsbelastningen, samtidigt som du arbetar självständigt och målinriktat. Du är utåtriktad och tydlig i din kommunikation och har en naturlig fallenhet för administration. Det är meriterande om du har minst 3 års erfarenhet från offentlig verksamhet, statlig eller kommunal, och om du har arbetat minst ett år inom energibranschen. Praktisk information Plats: Stockholm, med möjlighet till distansarbete upp till 50 procent av arbetstiden enligt överenskommelse med uppdragsgivaren. Inrikes resor förekommer 1 till 2 gånger per år.
