About This Role

This role will be responsible for the accurate collection, validation, entry, maintenance and reporting of equipment reliability and maintenance data. The role supports the Reliability Section by ensuring that accurate and timely data is available for equipment performance analysis, failure investigations, maintenance planning, reliability improvement initiatives, and management reporting.

Key Responsibilities

Data Entry and Management

  • Enter reliability and maintenance information into the relevant CMMS/ERP system, databases and spreadsheets.
  • Maintain accurate equipment records and historical maintenance information.
  • Update equipment master data, component information and failure records as required.
  • Ensure data is properly coded and classified in accordance with company standards.
  • Maintain organised electronic and hard-copy records where applicable.

Data Quality and Validation

  • Review data for accuracy, completeness and consistency.
  • Identify duplicate, missing or inconsistent records and initiate corrective action.
  • Validate downtime, failure and maintenance information against source documents.
  • Ensure appropriate failure codes, cause codes and maintenance codes are used.
  • Maintain high standards of data integrity and confidentiality.

Maintenance Data Support

  • Track open and completed maintenance work orders.
  • Monitor overdue work orders and provide information to the Reliability and Maintenance teams.
  • Support analysis of planned and unplanned maintenance activities.
  • Assist in tracking equipment/component failure history.
  • Support the identification of recurring equipment failures and bad actors.

Document Control

  • Maintain proper filing and retrieval of reliability records.
  • Ensure reliability, maintenance and planning reports and supporting documents are properly controlled.
  • Maintain records of equipment inspections, failure reports and reliability studies where required.
  • Assist with document archiving in accordance with company procedures.

Coordination and Communication

  • Liaise with Maintenance, Engineering, Operations, Planning, Warehouse and other relevant departments to obtain accurate information.
  • Follow up on missing or incomplete maintenance records.
  • Communicate data discrepancies to the appropriate personnel.
  • Support Reliability Engineers and Maintenance Planners with information required for their activities.

Education, Work Experience & Key Competencies

  • Bachelor’s Degree in Mechanical Engineering or Maintenance related discipline from a recognized institution.
  • Minimum of 3 years' experience in materials planning, inventory management, supply chain, procurement or a related role.
  • Professional Certification in Maintenance Planning and Reliability such as CMRP, CRE is preferable.
  • Proficiency in Computerized Maintenance Management Systems (CMMS) such as Pronto, JD Edwards, SAP, Oracle , Ellipse or similar systems.
  • Data analysis and reporting
  • Understanding of engineering and maintenance spares
  • Basic knowledge in Maintenance Planning and Reliability and KPIs is an advantage
  • Data entry and database management.
  • Good understanding of maintenance terminology.
  • Ability to work with equipment maintenance and failure records.
  • Ability to prepare charts, tables and dashboards
  • Ability to work in multi-cultural environment and respect other people values and opinions.
