The posting

Are you someone who sees what needs to happen next, and helps make sure it does? CHAI is looking for a Chief of Staff to work closely with our CEO and senior leadership team across the organization. This is a hands-on role for someone who knows how to keep priorities moving, bring people together, and create the structure and follow-through that helps an organization work well. Reporting to the CEO, the Chief of Staff will help leadership stay connected to key priorities, coordinate work that crosses departments, and make sure important decisions and action items don’t lose momentum. We’re looking for someone who takes initiative, earns trust, follows through, and pays attention to what’s happening across the organization. You should be comfortable bringing people together, asking the right questions, identifying where something needs attention, and helping find a path forward. This role touches many parts of the organization, including board governance, strategic initiatives, operations, facilities, administration, human resources, and special projects. Some days you’ll be preparing for a Board meeting or coordinating a project across several departments.  On other days you’ll be working through an operational issue, following up on a leadership priority, or helping implement a new process. The person who succeeds in this role will be resourceful, highly organized, collaborative, and comfortable managing competing priorities. You’ll need good judgment, strong communication skills, and the ability to build relationships with people at every level of the organization. What You’ll Do

Support the CEO and senior leadership in advancing organizational priorities and strategic initiatives. Keep important projects, decisions, and action items moving and make sure important follow-up doesn’t fall through the cracks. Support the Board of Directors and board committees, including meeting preparation, schedules, materials, minutes, follow-up and effective governance process. Coordinate across departments when projects or priorities involve multiple teams. Help strengthen communication and information sharing across the organization. Coordinate strategic planning activities and help track implementation and progress on organizational priorities.   Lead special projects and cross functional initiatives, helping move them from idea to implementation.   Prepare reports, presentations, and other materials to support leadership and organizational decision-making. Stay connected to day-to-day staff and operational matters and bring issues forward when appropriate. Supervise and support the HR Manager and Office Administrator. Help identify ways to improve systems, processes, communication, and workflow. Support the implementation of new systems, processes, policies, and organizational changes. Help ensure the office remains safe, welcoming, functional, and well maintained. Coordinate with vendors and external partners on technology, facilities, maintenance, and other organizational support services. Serve as a liaison with external partners, attending and coordinating meetings, materials, information, and follow-up as needed. Build strong working relationships with staff, board members, consultants, vendors, and other partners.

  What We’re Looking For

Someone who takes initiative and follows through. A strong project manager who can keep multiple priorities, deadlines, and people organized.   Someone who sees how different parts of an organization connect and can help people work effectively across departments.   Clear and effective written and verbal communication. Good judgment and the ability to handle confidential and sensitive information. The ability to shift priorities when circumstances change without losing sight of what needs to be done. Strong emotional intelligence and the ability to build trust. Someone who can bring calm and clarity when there are a lot of moving pieces    Someone who notices where a process or system could work better and is willing to help improve it. A collaborative, service-oriented approach and a genuine interest in helping people and the organization succeed.

Qualifications

5+ years of experience in administration, project management, operations, organizational effectiveness, or related field. Strong project management skills, including experience managing multiple priorities, stakeholders, deadlines, and follow-up.   Experience coordinating projects or initiatives across teams or departments. Experience improving systems, processes, policies, communications, or internal operations Experience working with senior leaders, board members, consultants or external partners Comfort with workplace technology and curiosity about responsible ways artificial intelligence can improve efficiency, communication, and organizational effectiveness Excellent written and verbal communication skills Nonprofit experience is a plus Bachelor’s degree or equivalent combination of education and relevant experience.

Compensation & Benefits The salary range for this position is $115,000–$125,000 annually, depending on experience, qualifications, and demonstrated leadership ability. CHAI offers a comprehensive benefits package that includes medical, dental, and vision insurance; paid time off; paid holidays; retirement benefits; professional development opportunities; and other benefits available to eligible employees. Why This Role? This is an opportunity to work closely with the CEO and executive leadership while getting a broad view of how a mission-driven organization works. You’ll help connect people, priorities, and information across the organization. You’ll have the opportunity to improve how work gets done, support important decisions and initiatives, and help maintain momentum as ideas move from planning to implementation.   If you’re organized, resourceful, comfortable working across teams, and get excited about helping people turn plans into action, we’d like to hear from you.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
