We are seeking a skilled and dedicated Office Administrator to oversee our day-to-day operations, ensure regulatory compliance, manage staff, and drive the growth of our agency.

The Office Administrator is responsible for the overall management and day-to-day operations of the agency. This pivotal role ensures the quality and safety of non-medical home health care services, coordinates programs that reflect our philosophy, and utilizes AxisCare to manage client and caregiver data. The Administrator handles the full employee lifecycle—including recruiting, onboarding, scheduling, and staff credentialing—to keep the agency compliant and running smoothly.

Responsibilities:

  • Oversee all day-to-day operations of the West Palm Beach agency. Plan and direct activities to ensure adequate, high-quality client care.
  • Recruitment, Onboarding & Scheduling: Lead the hiring process and manage ongoing caregiver schedules using AxisCare software. Ensure appropriate staff supervision and coverage during all operating hours.
  • Manage and verify credentials for healthcare staff to ensure total compliance with Florida laws before client assignment. Your duties will include:
  • Collecting and verifying licenses, certifications, background checks, drug screens, and health records.
  • Tracking expiration dates and proactively notifying staff of upcoming credential renewals.
  • Maintaining highly accurate, audit-ready employee files and compliance dashboards.
  • Communicating directly with candidates to obtain missing documentation.
  • Direct clinical staff regarding client admissions, provision of services, and discharges. Utilize statistical data to evaluate agency programs.

Qualifications:

  • 3+ years of training and experience in Health Service Administration, including at least 1 year of supervisory or administrative experience in home health care, hospitals, nursing homes, or assisted living facilities.
  • Prior experience or familiarity with AxisCare (or a similar home care scheduling/ATS platform) is highly preferred.
