Position Summary

The Multi-Site Operations Manager is responsible for the operational performance, growth, and consistency of up to 15 practice locations within an assigned geography. This role partners closely with Practice Administrators, Partner Doctors, Associates, and shared services teams to drive strong business results, operational excellence, team performance, and an exceptional patient experience.

The Multi-Site Operations Manager provides leadership and accountability to practice leadership teams, uses data and key performance indicators to identify opportunities, removes operational barriers, and ensures best practices and company standards are consistently implemented across all locations.

Because this is a multi-site leadership role, the position requires regular travel between assigned practices and the ability to build strong relationships with practice leaders and clinical teams across the region.

Essential Duties & Responsibilities

  • Oversee the day-to-day operations and overall performance of approximately six practice locations across the Midwest, ensuring alignment with company goals, standards, and values.
  • Partner with Practice Administrators, Partner Doctors, and Associates to proactively identify and resolve operational challenges and minimize unnecessary escalation.
  • Lead, coach, and develop Practice Administrators, establishing clear expectations, accountability, and action plans for performance improvement.
  • Monitor and manage key performance indicators, including Net Production, Completed Appointments, Ortho Starts, New Patients, Collections, Labor, Supplies/Labs, and EBITDA, using business intelligence and practice management systems.
  • Analyze practice performance trends, identify opportunities for improvement, and partner with local leadership to develop and execute action plans.
  • Support budgeting, forecasting, revenue management, and financial performance in alignment with organizational goals.
  • Conduct regular operational and performance reviews with Practice Administrators, Partner Doctors, Practice Managers, and company leadership.
  • Partner with the Marketing Team to implement, monitor, and evaluate marketing initiatives that support practice growth and new patient acquisition.
  • Ensure accurate coding, UCR updates, billing processes, and related practice management system practices.
  • Promote consistent processes and operational standards across locations while sharing successful practices and encouraging continuous improvement.
  • Support hiring, onboarding, training, and development of high-performing practice teams in partnership with local leadership and Human Resources.
  • Collaborate with Human Resources and practice leadership to ensure compliance with company policies, employee handbook requirements, staffing practices, and applicable employment standards.
  • Serve as a first point of approval for office staffing and compensation requests within established guidelines.
  • Maintain strong relationships with Partner Doctors, Associates, Practice Administrators, and staff, proactively addressing concerns and supporting a positive workplace culture.
  • Monitor patient satisfaction and doctor/staff satisfaction, identifying trends and partnering with teams to address opportunities.
  • Ensure practices maintain compliance with safety standards, applicable state laws, company procedures, and operational requirements.
  • Conduct regular practice inspections and audits to maintain operational, facility, and service standards.
  • Stay current on changes in healthcare regulations, technology, and industry practices and help practices adapt effectively.
  • Drive innovation, continuous improvement, and accountability across the region.

Leadership & Performance Expectations

  • Build strong, collaborative relationships with practice and clinical leaders.
  • Set clear expectations and hold leaders accountable for results and follow-through.
  • Use data to make informed decisions and translate performance trends into actionable strategies.
  • Develop leaders and teams through coaching, feedback, training, and regular performance conversations.
  • Create consistency across multiple locations while recognizing and addressing the unique needs of each practice.
  • Model a people-first, solutions-oriented approach while maintaining a strong focus on operational and financial performance.

Education & Experience

  • Associate degree required; bachelor's degree preferred.
  • Three to five years of multi-site management, regional operations, or healthcare operations experience preferred.
  • Healthcare or dental industry experience preferred.
  • Experience leading managers and/or multi-location teams.
  • Experience developing and implementing policies, procedures, and operational processes.
  • Equivalent combinations of education and experience that demonstrate the ability to perform the responsibilities of the position may be considered.

Qualifications & Skills

  • Ability to regularly travel between assigned Midwest practice locations; candidates residing in or near Omaha, Nebraska are preferred.
  • Strong leadership, coaching, and relationship-building skills.
  • Ability to manage competing priorities across multiple locations and respond effectively to changing business needs.
  • Strong analytical and problem-solving skills, with the ability to use data to identify trends and opportunities.
  • Ability to translate complex operational challenges into clear, practical solutions and action plans.
  • Strong organizational and time-management skills with excellent follow-through.
  • Ability to develop and execute short- and long-term operational goals.
  • Ability to communicate effectively with clinical providers, practice leaders, corporate teams, and employees at all levels.
  • Ability to foster a positive, accountable, and high-performing work environment.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
