The posting

Our SelectLeaders client is seeking a highly organized, proactive, and hands-on Facilities Manager to oversee the maintenance, safety, cleanliness, and overall condition of multiple properties in Jersey City, NJ.

The ideal candidate takes ownership, identifies problems before they escalate, and ensures that facilities are maintained to the highest standards. This is a hands-on leadership position for someone who enjoys being on-site, working alongside maintenance staff, coordinating contractors, and ensuring that every detail is addressed.

The successful candidate will combine strong technical knowledge of building maintenance with excellent organizational skills, financial responsibility, and the ability to lead a small team.

This is not a desk job. Our client is looking for someone who is visible, responsive, practical, and willing to roll up their sleeves when needed.

Job Responsibilities

  • Oversee daily maintenance and physical operations across multiple properties.
  • Conduct routine building walkthroughs to identify maintenance, cleanliness, safety, and appearance issues.
  • Perform minor repairs and maintenance tasks directly when appropriate.
  • Oversee HVAC, plumbing, electrical, lighting, doors, flooring, and other building systems.
  • Develop and execute preventative maintenance schedules to minimize unexpected repairs and equipment failures.
  • Ensure all interior and exterior spaces are safe, functional, clean, and well maintained.
  • Respond promptly to maintenance emergencies and coordinate repairs with minimal disruption to daily operations.
  • Maintain an organized inventory of tools, supplies, equipment, and replacement parts.
  • Supervise and coordinate maintenance employees, including daily assignments, scheduling, performance, and follow-through.
  • Establish clear expectations, responsibilities, and priorities for the maintenance team.
  • Ensure maintenance requests are tracked, assigned, and completed in a timely manner.
  • Verify that work is completed correctly and meets established quality standards.
  • Train, support, and hold maintenance employees accountable for performance.
  • Collaborate closely with on-site personnel and senior leadership to address facility needs.
  • Communicate proactively regarding maintenance issues, repair timelines, and completed work.
  • Manage relationships with outside contractors, service providers, and maintenance vendors.
  • Obtain competitive quotes, evaluate proposals, and negotiate pricing.
  • Coordinate vendor schedules and oversee work performed on-site.
  • Ensure contractors complete work according to approved scopes, timelines, and quality expectations.
  • Review invoices against approved quotes and completed work before submitting them for payment.
  • Track vendor contracts, service agreements, warranties, and scheduled maintenance.
  • Identify opportunities to reduce costs and improve vendor performance.
  • Coordinate small- to medium-sized renovation, repair, and facility improvement projects.
  • Develop project scopes, timelines, material requirements, and cost estimates.
  • Oversee contractors to ensure projects are completed safely, on schedule, and within approved budgets.
  • Coordinate work during evenings and weekends when necessary to minimize operational disruptions.
  • Track project progress and communicate updates to leadership.
  • Conduct final inspections and ensure outstanding items are resolved before project completion.
  • Maintain facilities in accordance with applicable building, fire, health, and safety regulations.
  • Conduct routine safety inspections and promptly address identified hazards.
  • Maintain accurate records of inspections, permits, certifications, and required maintenance.
  • Coordinate fire alarm, sprinkler, HVAC, and other required building system inspections.
  • Support emergency preparedness, building security, and facility-related emergency response procedures.
  • Ensure exterior areas and common spaces are inspected regularly and maintained safely.
  • Coordinate with leadership to minimize operational disruptions during repairs and emergencies.
  • Track facilities spending, maintenance costs, vendor expenses, and project budgets.
  • Follow established purchasing, invoice verification, and financial approval procedures.
  • Maintain a centralized work-order and preventative maintenance system.
  • Keep organized records of repairs, equipment, warranties, vendor agreements, and completed projects.
  • Provide weekly updates to leadership on open maintenance requests, completed work, upcoming projects, and spending.
  • Identify recurring maintenance issues and recommend long-term solutions.

Qualifications

  • 5+ years of experience in facilities management, building maintenance, property maintenance, or a related field.

  • Strong communication skills and a service-oriented mindset.
  • Valid driver's license.
  • Ability to work 100% on-site in Jersey City and travel between properties.
  • Availability for occasional evening, weekend, and emergency work.
  • Ability to perform the physical requirements of the role, with or without reasonable accommodation.
  • Experience in commercial facilities, residential property management, healthcare, hospitality, or other multi-site environments.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
