Job Summary

The Integration Operations Coordinator serves as the central control tower for customer integration projects, driving master project scheduling, capability-matched resource allocation, and operational efficiency across the integration portfolio. Sitting within the Integration Project Management (IPM) organization, this role bridges engineering capacity with program demand, partnering with Customer Solution & Integration Leads to understand upcoming staffing needs, including the nature of assignments and required team capabilities. They oversee staffing of integration teams to projects, balancing customer, business, and individual needs, while working with leadership to make thoughtful staffing decisions that balance customer experience and utilization. First and foremost a staffing and resource allocation role, it consults with direct managers regarding project types, career aspirations, technical capabilities, industry vertical exposure, and specific needs for customer and travel assignments. Direct people management responsibilities remain with individual managers, while this role focuses strictly on managing staffing and scheduling across the portfolio.

Beyond core scheduling, this role will own cross-functional operational touchpoints across Finance, Legal, Supply Chain, and Business Operations. They will integrate manufacturing lead times and finished goods availability directly into project timelines, build portfolio-level dashboards, track integration finances, manage internal CSI assets, and leverage systems/tooling to streamline and automate integration workflows.

Key Responsibilities

  • Schedule Creation & Master Timelines: Develop, monitor, and update baseline timetables, milestones, critical paths, and task sequences across complex customer integration projects using tools (Smartsheet, Cetinia, etc.).
  • Strategic Staffing & Leadership Alignment: Partner closely with Customer Solution & Integration Leads to analyze upcoming customer integration pipelines, understand staffing needs, including assignment details and required team capabilities, and proactively plan allocations while balancing client, office, and individual needs.
  • Capability-Based Resource Allocation: Partner with Customer Solution & Integration Leads to make thoughtful staffing decisions matching Field Application Engineers (FAEs) and Integration Project Managers (IPMs) to customer engagements based on technical capability annotations, project complexity, client service, target utilization, retention, and individual travel availability.
  • Workload Readiness & Assignment Diversity: Oversee operational readiness and integration team assignments across field teams, continuously monitoring active and historical assignments to help ensure FAEs and IPMs gain exposure to a variety of projects, diverse technical challenges, customer environments, and professional experiences.
  • Manufacturing Lead-Time & Hardware Integration: Interface directly with manufacturing and supply chain teams to track lead times, hardware availability, and finished goods inventory; incorporate hardware readiness dates directly into project scheduling and staffing decisions.
  • Portfolio Tooling, Dashboards & Analytics: Build, maintain, and optimize portfolio-level dashboards tracking project metadata, engagement types, engineer utilization, bench capacity, and critical path risks to drive operational insights.
  • Resource Load Balancing & Capacity Forecasting: Monitor team workload, analyze historical data, and build forward-looking capacity models to balance resource loads and forecast future staffing needs.
  • Cross-Functional Interfacing:Finance: Track project burn rates, integration portfolio finances, and milestone billings. Legal: Coordinate on integration contracts, Statements of Work (SOWs), and legal documentation. Business Operations: Partner on internal process streamlining, workflow optimization, and operational efficiency initiatives. Logistics & Assets: Align customer order shipment dates with engineer site arrivals, and manage tracking for internal Customer Specific Integration (CSI) assets.

Core Competencies

  • Systems-Driven & Automation Mindset: Passion for building scalable processes, eliminating manual overhead, and automating scheduling and reporting workflows through tooling.
  • Meticulous Attention to Detail: Exceptional precision in tracking hardware availability, contract status, resource schedules, and complex dependencies without losing sight of critical paths.
  • Cross-Functional Orchestration: Ability to serve as a high-touch operational interface across technical managers (FAE/IPM), corporate leads (Finance/Legal), and supply chain teams.
  • Data & Portfolio Analytics: Strong capability to turn project metadata into actionable dashboards, capacity forecasts, and operational insights.
  • Strategic Resource Balancing: Strong judgment in weighing project urgency, technical requirements, travel loads, and engineer career growth.

You Must Have

  • 5+ years of experience in project scheduling, resource allocation, program operations, or professional services operations.
  • Demonstrated hands-on expertise with project scheduling tools
  • Proven track record of building operational dashboards and reporting suites
  • Direct experience managing complex scheduling dependencies involving hardware lead times, resource capabilities, and cross-functional handoffs.

We Value

  • Background in management consulting, resource staffing, or field engineering operations.
  • Familiarity with hardware supply chain workflows, finished goods tracking, and Statements of Work (SOWs) / legal contract execution.
  • Strong interest in workflow automation, process optimization, and building "control tower" operational systems with a strong interest in AI tools and agentic workflows.
  • Experience balancing resource and travel load

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
