Summary/Objective

Reporting to the Chief Revenue Officer, the Executive Administrative Assistant is responsible for providing administrative, operational, and project support while helping drive coordination across the Growth organization. This role partners closely with business leaders to manage executive priorities, support key initiatives, prepare business documents, coordinate meetings, and track projects. The ideal candidate is highly organized, detail-oriented, proactive, technologically savvy, and thrives in a fast-paced environment while serving as a trusted partner behind the scenes.

Essential Functions

  1. Manage executive calendar, scheduling, and meeting coordination for the Chief Revenue Officer.
  2. Coordinate timelines, deliverables, and project tracking across multiple Growth organization initiatives.
  3. Prepare, format, and maintain professional proposals, presentations, meeting materials, and other business documents.
  4. Track action items, project milestones, and follow up on outstanding deliverables to ensure timely execution.
  5. Maintain organized records, files, and operational information within Microsoft 365, SharePoint, Teams, and other business systems.
  6. Assist with strategic partnership, business development, and Growth organization initiatives by coordinating information, meetings, and deliverables.
  7. Prepare recurring reports, dashboards, and operational updates to support decision-making and organizational priorities.

Responsibilities and Duties

1. Executive Support

  • Manage executive calendar, scheduling, and meeting coordination
  • Coordinate travel arrangements and itineraries
  • Prepare meeting agendas and supporting materials
  • Track action items and follow up on outstanding deliverables
  • Process expense reports and administrative requests
  • Assist with internal and external communications

2. Document & Presentation Support

  • Format and prepare professional proposals, presentations, and client materials
  • Assemble meeting packets and presentation decks
  • Maintain document templates and version control
  • Proofread documents for grammar, formatting, and consistency
  • Coordinate electronic signatures and document distribution

3. Organization & Project Coordination

  • Maintain organized electronic filing systems within Microsoft 365, SharePoint, and Teams
  • Coordinate timelines and deliverables across multiple projects
  • Schedule recurring meetings and manage project calendars
  • Track project milestones and communicate status updates
  • Assist with event and meeting logistics

4. Growth Operations Support

  • Help coordinate strategic partnership initiatives
  • Maintain sales and partnership tracking information
  • Assist with CRM updates and reporting
  • Support conference, webinar, and event planning
  • Prepare recurring reports and dashboards as needed

Education and Experience

  • Bachelor's degree preferred or equivalent professional experience required
  • 2–5 years of administrative, executive support, project coordination, or operations experience
  • Proficiency with Microsoft Office 365 applications, including Outlook, Word, PowerPoint, Excel, Teams, SharePoint, and OneDrive required
  • Experience with Salesforce, Adobe Acrobat, DocuSign, Canva, AI tools such as Microsoft Copilot or ChatGPT, and project management software preferred
  • Strong organizational and time management skills with the ability to prioritize effectively
  • Excellent written and verbal communication skills
  • High attention to detail and commitment to quality work
  • Ability to manage multiple priorities and work independently
  • Professionalism, discretion, and sound judgment when handling confidential information
  • Positive, proactive attitude with a willingness to learn and grow

Travel

No travel is required for this position.

Work Environment

This job operates in a clerical, office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Physical Demands

Must be able to lift up to 30 pounds. This position will require setting up workstations including monitors, computers, laptops, and other hardware as required. It may also require the use of ladders and crawling under desks to provide network connections to equipment.

Position Type and Expected Hours of Work

This is a full-time, non-exempt position. Days and hours of work are Monday through Friday 8:00 a.m. to 5 p.m. Some remote work and flexibility in hours is allowed based on management’s approval.

Compensation

Minimum: $36/hr - Maximum: $43/hr USD
