The posting

At Carma, we’re more than just a car company, we’re on a mission to shake up the Australian automotive industry! As a digital pre-owned car dealership, we’re transforming the car buying (and selling!) experience into a hassle-free, seamless journey that customers can truly enjoy. With our diverse and collaborative team managing everything from engineering to marketing and buying to reconditioning in-house, we’re powered by great people and we’d love for you to come along for the ride!

As our People Team Coordinator, you’ll play an important role in keeping our People Experience function running smoothly. Working across both People Experience and Talent Acquisition, you’ll provide the coordination, administration and operational support that helps deliver a great experience for our employees, candidates and managers.

From welcoming new starters and coordinating onboarding, to managing employee records, supporting recruitment activity and keeping our people systems up to date, you’ll be involved in a little bit of everything. You’ll be a key point of contact for the business, helping ensure the details are taken care of and that every interaction with the People Team reflects the Carma experience.

What you'll be doing:

  • Manage the People Team shared inbox, responding to general enquiries and escalating matters to the appropriate team members where required
  • Maintain accurate and up-to-date employee records and personnel files, including contracts, position descriptions and other employment documentation
  • Support people compliance activities, including organisation chart updates, reporting line changes, pre-employment checks, visa monitoring and licence tracking
  • Coordinate the end-to-end onboarding administration process, ensuring new starters have everything they need ahead of their first day
  • Be the face of Carma for new starters, welcoming them on Day One and ensuring their onboarding experience is organised, engaging and reflective of our values
  • Coordinate onboarding sessions, introductions, training and meetings with relevant stakeholders and managers
  • Support the creation and monitoring of new starter training checklists, working with managers to ensure employees are set up for success
  • Conduct new starter check-ins, gathering feedback, identifying potential issues and escalating matters where required
  • Coordinate employee offboarding, including exit administration, equipment collection and supporting exit interviews
  • Assist with preparing, reviewing and maintaining employment letters, contracts, policies, procedures and guidelines
  • Provide administrative support for formal and informal people meetings, including note-taking and following up on actions
  • Support WHS administration and compliance activities across the business
  • Complete candidate reference checks and pre-employment screening, ensuring all information is accurately recorded in our ATS
  • Support the general administration and upkeep of our recruitment and HR systems
  • Partner with the Talent Acquisition team to coordinate interviews, manage candidate communications and ensure a seamless candidate experience
  • Welcome candidates onsite, coordinate facility tours and assist with the logistics of group interviews and assessment centres
  • Send and monitor the completion of candidate assessments and pre-employment checks
  • Support managers with training and upskilling on People Experience systems and processes
  • Assist with pulling together regular reporting across People Experience and Talent Acquisition
  • Bring a continuous improvement mindset, identifying opportunities to streamline processes and improve the employee and candidate experience
  • Pick up ad hoc projects and administrative tasks to support the broader People Team as required

Okay, let's talk about you:

  • You have 2–3 years' experience in an HR administration, People & Culture or coordination role
  • You've completed, or are currently studying towards, a degree in Human Resources, Business Administration, Psychology or a related discipline
  • You're interested in developing your career in either People Experience, HR or Talent Acquisition and are keen to gain exposure across both areas
  • You're highly organised and comfortable juggling multiple priorities in a fast-paced, ever-changing environment
  • You have excellent attention to detail and take pride in keeping information, systems and documentation accurate and up to date
  • You're tech savvy and enjoy learning new systems, platforms and processes
  • You're a confident communicator who enjoys interacting with people at all levels of the business, whether one-on-one or in a group setting
  • You're approachable, proactive and comfortable being a first point of contact for employees, candidates and managers
  • You have a strong customer service mindset and genuinely care about creating a positive experience for others
  • You're adaptable, solutions-focused and happy to roll up your sleeves to get things done
  • You enjoy finding better ways of working and aren't afraid to suggest improvements

What's in it for you?

  • A fantastic opportunity to build your career across both People Experience and Talent Acquisition
  • Exposure to the full employee lifecycle, working alongside an experienced and collaborative People Team
  • The opportunity to make a genuine impact on the employee and candidate experience as Carma continues to grow
  • A varied role where no two days are quite the same, with plenty of opportunities to learn, develop and take ownership
  • Work in a fast-growing business where you can contribute ideas, improve processes and see the impact of your work
  • Our open plan office comes fuelled with fresh coffee, a snack stash for any craving, and Friday rooftop drinks to keep your energy in the fast lane!
  • Sweet perks because, well, we’re a car business so $$ off Carma cars, parts, and NRMA cover to rev up your ride!

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
