POSITION SUMMARY:
This position is temporary and will end on March March 31, 2027.
The Administrative Assistant is responsible and organized and performs a variety of routine clerical and administrative tasks. Responsibilities vary, and will include, but are not limited to the following:
- Provide front-desk coverage manage and maintain an organized, clean office environment.
- Monitor and manage executive calendar.
- Check leadership calendars as needed to schedule meetings, and resolve time conflicts.
- Conduct incoming/outgoing mail and shipments.
- Create, organize and update files.
- Organize and provide support for meetings and special events.
- Coordinate schedules, arranging calls, and scheduling appointment
- Organize and arrange for meetings.
- Search for venues and running errands
- Arrange calls, making travel and supporting travel arrangements and travelers
- Handle a variety of correspondence by email, phone, or in-person
- Type, file, scan, proofread documents and maintain an organized file for such documents.
- Answer, screen, and direct phone calls, compose emails, and draft memos.
- Welcome and greet visitors and ensure they are directed to the right place.
- Create and update tracking folders for each Offering
- Provide administrative support to Finance and Operations as required.
KNOWLEDGE, SKILLS & ABILITIES REQUIRED:
- High School diploma, with 6+ months of general office or clerical experience, associate’s degree preferred
- Trustworthy and comfortable handling confidential information
- Excellent knowledge of Microsoft Office Word and Excel and of G-Suite and G-mail and Calendar
- Highly organized with high attention to detail and strong work ethic
- Ability to work well in a highly collaborative, open-suite environment
- The ability to prioritize and handle multiple tasks simultaneously and autonomously
- Strong tine-management skills and multi-tasking ability
- Can quickly learn new software and systems
- Able to follow Standard Operation Procedure or Practice (SOP)
- Able to use guidelines for writing a SOP to develop one and to recognize when an SOP needs to be written.
- Strong and accurate written and verbal communication skills
- Excellent attention to detail and impeccable follow-up.
- Prompt, regular and reliable attendance
- Disposition is consistently professional, cooperative, and collegial as evidenced by workplace maturity, composure, perspective, transparency, reliability, integrity, and trustworthiness.

- PHYSICAL REQUIREMENTS:
- Ability to use a computer for up to 8 hours/day with breaks and lunch.
- Ability to talk on the phone for up to 4 hours/day.
- Ability to lift up to 30 lbs. occasionally
- Travel to run errands within at 20-40 miles radius
