About the Role

At Charcoalblue, we believe exceptional team member experiences enable exceptional client experiences.

As our People Operations Assistant, you'll play a key role in delivering those experiences by helping the People Team operate efficiently and effectively across our global business. Sitting at the heart of the People function, you'll support the systems, processes and programmes that underpin the team member lifecycle, from onboarding and People systems administration to coordinating key initiatives and continuously improving how we work.

Working closely with colleagues across Human Resources, Talent Acquisition and Learning & Development, you'll provide the operational foundation that enables the wider People Team to focus on strategic partnership, talent development and organisational effectiveness.

Supporting teams across the UK, US, Australia and future growth markets, you'll gain broad exposure to a global People function while developing expertise in our systems, processes and data. Over time, you'll become a trusted operational partner and subject matter expert within the team.

This is an excellent opportunity for someone with experience in coordination, operations, administration or project support who is excited to build a long-term career in People within a growing global consultancy. You'll gain broad exposure across the People function, develop expertise in our systems, processes, programmes and data, and support colleagues across multiple countries and cultures. For someone eager to learn and grow, the role offers a strong foundation for future development in People Operations, Human Resources, Talent Acquisition or Learning & Development.

What You'll Do

People Operations & Systems

You'll help ensure our People operations are accurate, efficient and scalable.

  • Maintain People systems and records, ensuring team member data is accurate, up to date and trusted.
  • Develop expertise in Charcoalblue's People systems, processes and data, becoming a trusted source of knowledge and operational support for the wider People Team.
  • Coordinate team member lifecycle changes, including onboarding, offboarding, promotions, compensation changes and organisational updates.
  • Develop and maintain People reporting, dashboards, organisational charts and workforce data, helping identify trends and insights that inform People Team priorities and business decisions.
  • Support the continuous improvement of People systems, documentation, workflows and processes.

Programme & Project Coordination

You'll help keep key People initiatives organised, on track and moving forward.

  • Coordinate recurring People programmes and annual cycles, including annual developmental reviews, engagement surveys, salary reviews and development initiatives.
  • Develop and maintain project plans, timelines, communications and action trackers for People Team initiatives.
  • Support project governance by tracking milestones, dependencies and risks, helping ensure priorities progress from planning through to execution.
  • Coordinate stakeholders, resources and communications across the People Team and wider company.
  • Contribute to projects that improve team member experience and support Charcoalblue's continued growth.

Team Member Experience & Service Delivery

You'll help deliver thoughtful, responsive and people-centred support across the business.

  • Act as a first point of contact for routine People Team enquiries, connecting team members with the right support.
  • Coordinate onboarding and offboarding experiences that help team members feel welcomed, supported and connected.
  • Prepare employment-related documentation and support benefits administration.
  • Help maintain People Team resources, guides and self-service materials.
  • Support People Team communications, programmes and initiatives throughout the year.

Culture, Connection & Continuous Improvement

You'll help strengthen the operational foundations that support a connected, inclusive and high-performing culture, while ensuring our People practices continue to evolve alongside the needs of our growing global business.

  • Help connect the People Team with the Studios Team and wider Core Business Services Team, supporting the delivery of people and culture initiatives across our global offices.
  • Coordinate the sharing of resources, communications, insights and best practices between the People Team and Core Business Services Team.
  • Support the gathering and sharing of insights from our global studios, helping ensure People Team priorities remain connected to the experiences of team members across the business.
  • Identify opportunities to improve processes, simplify ways of working and enhance the employee experience.
  • Help build scalable, sustainable People practices that support Charcoalblue as we continue to grow.
  • Approach your work with curiosity and a continuous-improvement mindset, helping identify opportunities to make our People experiences, systems and processes even better.

What We're Looking For

We're looking for someone who is curious, organised and eager to grow, while bringing experience coordinating projects, processes, systems or operations within a professional environment.

You might be a great fit if you:

  • Have at least 2 years of experience in a coordinator, operations, project support, business support, HR, recruitment, learning or administrative role.
  • Enjoy bringing structure to complex or evolving priorities.
  • Have experience working with systems, data analytics, reporting or process administration.
  • Can manage multiple workstreams and keep projects moving forward.
  • Take pride in producing accurate, high-quality work.
  • Communicate clearly and build positive relationships with others.
  • Are proactive, dependable and comfortable taking ownership.
  • Handle confidential information with professionalism, care and discretion.

Experience in HR, recruitment, learning and development, or project coordination is helpful, but not essential. Experience in a global consultancy a plus.

We're particularly excited to meet someone who:

  • Brings genuine care and empathy to their interactions with colleagues, candidates and stakeholders.
  • Takes pride in developing expertise in the systems, processes and tools they support.
  • Is curious, proactive and motivated by finding better ways of working.
  • Enjoys collaborating with others and helping teams succeed.
  • Is excited by the opportunity to help create exceptional experiences for our people while contributing to the continued growth of Charcoalblue.

Whilst most work takes place during standard business hours, some flexibility may occasionally be required to support colleagues, clients, and projects across different time zones. You'll be based in London or Bristol, with opportunities for travel domestically and internationally for projects, team gatherings, and studio events.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
