Job Description

Executive Assistants (Levels I, II, and III) Location: Washington, DC Clearance: Active Secret clearance required Status: Contingent upon contract award

Cherokee Federal is seeking Executive Assistants at Levels I, II, and III to support CA/PPT leadership and functional offices. Under the anticipated contract, our team will provide professional, administrative, analytical, and program management support that strengthens headquarters operations and helps leaders make informed decisions.

We need people who bring sound judgment, initiative, tact, and strong organizational skills. You will manage competing priorities, coordinate across stakeholders, protect sensitive information, and follow through on commitments. The scope and independence of the work vary by level.

What you’ll do

Executive Assistant I — Daily executive support

Manage calendars and appointments, resolve scheduling conflicts, and adjust plans as priorities change. Screen calls; route correspondence and requests; and track responses and assigned actions. Coordinate travel, including cost and per diem estimates, itineraries, lodging, transportation, and post-travel vouchers. Prepare and edit reports, correspondence, presentations, and other documents. Maintain executive records and reference materials in accordance with confidentiality requirements and office policies. Coordinate meetings and events, including agendas, logistics, materials, and minutes. Work with staff, stakeholders, and vendors to keep executive activities moving. Recommend workflow improvements and implement approved changes using Microsoft Office and SharePoint.

Executive Assistant II — Functional-unit and project support

Provide specialized administrative and project support, exercising independent judgment and initiative. Monitor project activities, milestones, and financial information; maintain tracking tools; and flag issues that need attention. Collect and analyze information, then prepare complex briefings, reports, presentations, and recommendations. Coordinate administrative assignments, stakeholder input, documentation, decisions, and outstanding actions. Plan events and support office relocation activities, including schedules, requirements, and logistics. Apply established procedures to maintain accurate records and responsive workflows.

Executive Assistant III — Senior executive support

Manage complex calendars and provide schedule briefings and reminders that prepare leaders for key engagements. Coordinate domestic and international travel, including itineraries, destination contacts, cost estimates, changes, and documentation. Prepare and coordinate executive correspondence, briefings, and background materials. Serve as a primary administrative point of contact, prioritizing inquiries and elevating matters that need leadership attention. Track executive projects, decisions, and commitments; obtain stakeholder updates; and follow through with responsible personnel. Plan executive meetings, conferences, and events. Maintain confidential records and oversee daily administrative workflows, quality, and deadlines.

Required qualifications

Level I: At least three years of relevant professional experience and a bachelor’s degree, or at least seven years of relevant professional experience. Level II: At least six years of relevant professional experience and a bachelor’s degree, or at least ten years of relevant professional experience. Level III: At least nine years of relevant professional experience and a bachelor’s degree, or at least thirteen years of relevant professional experience.

All levels also require an active Secret personnel security clearance; strong computer skills and in-depth knowledge of Microsoft Word, Excel, PowerPoint, and SharePoint; knowledge of standard office administrative practices; and exceptional interpersonal skills.

Preferred qualifications

Experience supporting senior executives in a federal headquarters or comparable setting is preferred. Strong candidates can manage complex calendars, travel, and correspondence; coordinate projects and commitments across stakeholders; plan leadership events; handle sensitive information with discretion; and improve administrative processes using Microsoft Office and SharePoint.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
