With more than 6,000 employees across NSW and Southeast Queensland, our mission is to promote the dignity, life and spirituality of older people through connected and inclusive communities.  We're seeking an Administration Manager to join our Residential Aged Care team at Villa Maria Eastern Height. This permanent full-time role is an opportunity to bring your administration and rostering experience to a welcoming home, supporting residents, families, and colleagues.  The Role  Reporting to the Residential Manager, you'll coordinate staff rosters, support administration and resident admissions, and provide warm, responsive customer service. You'll help keep day-to-day operations organized while maintaining accurate records and handling sensitive information with care.  Key responsibilities include: 

Maintain the master roster within budget and contracted hours, allocate shifts fairly and publish fortnightly rosters approved at least two weeks ahead.  Coordinate planned and unplanned leave, arrange replacement staff and raise recruitment requisitions with the Residential Manager and Talent Acquisition.  Maintain employee compliance, induction and training records, including relevant police checks, visas, AHPRA registrations and MyLearning records.  Support resident admissions, movements and exits, maintain accurate eCase data and prepare resident letters and communications.  Order supplies and equipment, prepare purchase orders and process invoices.  Welcome residents, families, employees and guests, build positive relationships and respond promptly to enquiries and feedback.  Prepare for new employee onboarding and support occupancy tracking, referrer communications and home tours as requested. 

To be successful in this role you'll need: 

A Certificate II or III in business administration, or a similar qualification. Significant office administration experience. Experience with time and attendance rostering systems; HumanForce experience is preferred. Intermediate to advanced Microsoft Outlook, Word and Excel skills. Strong interpersonal and communication skills, emotional intelligence and a discreet approach to confidential information. The ability to work independently and collaboratively within a multidisciplinary team.
