Acting as a trusted partner to the EVP, the Executive Assistant serves as a central point of coordination across multiple departments, helping drive priorities, manage critical initiatives, facilitate communication, and ensure the successful execution of organizational goals.

The ideal candidate thrives in a fast-paced entertainment environment, exercises exceptional judgment, and is skilled at balancing executive support, project management, and organizational leadership. · Manage a complex and ever-changing executive calendar, balancing business priorities, events, travel and personal commitments. Complete other administrative duties, including copying, scanning, digitally filing, and distributing documents, as required.

· Working with relevant Leadership Team to ensure initiatives and projects are on track in terms of timeline and content. Proactively meet with SVP’s/VP within the departments for upcoming months meeting needs. Provide early warning and follow up when something is going off-track. Identify barriers to project completion and help overcome them.

· Drive accountability across the teams and facilitate effective cross-functional communication.

· Help establish and improve processes, systems, and workflows that enhance organizational efficiency.

· Track and follow up on EVP requests and work assignments inside and outside of the team, as needed, to ensure timely response.

· Establish an effective daily communication method and cadence for reviewing meeting requests, proposed scheduling, and urgent inbox items. Look at calendar and reach out to meeting schedulers and get decks for EVP a day or two before the meeting so EVP can prepare.

· Maintain the Departments calendar and ensure projects and events are well coordinated and communicated. Coordinate with Operations, Finance, IT, HR and other administrative departments to ensure smooth integration of departments’ work.

· Provide leadership and support on recurring events; Plan and handle the logistics of EVP teams Off-Sites and other events.

· Provide analytical support which may include research, project or situation assessment, data gathering and reporting. Creation of power point deck to communicate results.

· Maintain a regular schedule of skip-level lunches, department-wide team-building events, and individual team gatherings across the EVP’s organization. Be responsible for driving, managing and coordinating these.

· Coordinate executive participation in conferences, non-profit Board work, industry events, and company sponsored events. Take charge of figuring out all the steps and communication in the process to ensure smooth presentations by EVP.

· Provide guidance, mentorship, and coordination for administrative staff supporting departments within the EVP’s organization.

· Interface professionally with Studio Presidents, vendors and business partners.

· Handle confidential and sensitive information with the highest degree of professionalism and discretion.

  • Demonstrates superior organizational skills and ability to prioritize and balance multiple tasks in a fast-moving environment.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
