Compensation: $20 – $25/hour

Schedule: Part-Time | 20 hours/week | Afternoons (second half of the day)

ROLE

We are hiring an on-site, part-time Personal Assistant to work directly out of the CEO's office in Westfield, NJ. This is a hands-on, in-person support role focused on bringing order to the physical space and taking care of the day-to-day essentials so the CEO's time and environment stay clear and productive.

You will spend your afternoons cataloguing and organizing the office, moving and setting up items, scanning and filing documents (both physically and digitally), helping care for the CEO's dog, Apollo, and keeping food and meals handled. This is a trusted role in a personal, on-site environment — reliability, discretion, and follow-through matter more than experience.

You don't need to be told twice, you don't leave a job half-finished, and you treat the CEO's space, belongings, and pet as if they were your own.

Requirements

RESPONSIBILITIES

Office Organization & Cataloguing

  • Catalogue and inventory items throughout the office — equipment, supplies, documents, and personal items — so everything has a known place and can be found quickly
  • Create and maintain a simple, consistent labeling and organization system for shelves, storage, drawers, and supply areas
  • Keep the office orderly and clutter-free on an ongoing basis, resetting spaces to their organized state at the end of each shift
  • Track supplies and flag items that are running low so they can be reordered before they run out

Moving, Setup & Physical Support

  • Move, arrange, and set up items, boxes, furniture, and equipment around the office as directed
  • Help with reorganizing, staging, or clearing spaces — including packing, unpacking, and relocating items
  • Handle physical setup and breakdown tasks safely and carefully, protecting both the items and the space
  • Assist with deliveries, returns, and getting items where they need to go

Scanning, Filing & Records (Physical + Digital)

  • Scan documents, receipts, mail, and other materials accurately and legibly
  • Store items in the correct place — either filed physically in a labeled system or saved digitally to the correct Google Drive folder with correct naming
  • Maintain a clean, retrievable filing system so any document can be located on request
  • Keep digital folders organized and consistent, matching the company's naming and version conventions

Pet Care

  • Help care for Apollo (the CEO's dog) during the workday — feeding, fresh water, and letting him out as needed
  • Take Apollo on walks and give him attention and exercise during the shift
  • Keep Apollo's area clean and his supplies (food, treats, essentials) stocked
  • Coordinate grooming or vet appointments when asked, and flag anything that seems off with his health or behavior

Food & Meals

  • Help keep the office kitchen stocked with food, drinks, and snacks
  • Prepare, pick up, or coordinate meals and snacks during the shift as needed
  • Keep the kitchen and eating areas clean, stocked, and organized
  • Run food-related errands (grocery runs, pickups) as directed

WHO YOU ARE

  • Reliable and punctual — you show up on time, every scheduled day, and people can count on you
  • Extremely organized — you don't let things fall through the cracks and you like putting order to chaos
  • Hands-on and physically capable — comfortable being on your feet, moving items, and lifting and carrying throughout the shift
  • Detail-oriented — you label, file, and scan things correctly the first time
  • Proactive — you notice what needs doing and handle it without waiting to be asked
  • Comfortable around dogs — you genuinely like animals and are confident handling and caring for a dog
  • Discreet and trustworthy — you'll be in a personal space around personal belongings; confidentiality and respect are non-negotiable
  • Self-managed — once shown how something is done, you can repeat it independently
  • Basic tech comfort — able to use a scanner and Google Drive to save and organize files

TOOLS & EQUIPMENT YOU'LL WORK WITH

  • Scanner / phone scanning apps — digitizing documents and receipts
  • Google Workspace (Drive, Docs, Sheets) — saving, naming, and organizing digital files
  • Labeling and physical filing systems — keeping the office organized
  • Slack — team communication and daily coordination
  • Basic office and household equipment — for moving, setup, and kitchen tasks

  • The office is fully catalogued, organized, and labeled — anything can be found in under a minute
  • A reliable scanning-and-filing system is running, with every document stored correctly (physically or digitally) the same day
  • Apollo is cared for consistently every shift — fed, walked, and comfortable, with zero missed needs
  • The office kitchen is always stocked and meals are handled smoothly without the CEO having to think about it
  • The CEO can hand you a task and trust it's done right, on time, without follow-up
