Position Summary
Reporting to the Chief Academic Officer, the Associate Dean of Academic Operations is responsible for the administrative arm of the Academic Affairs division. The position oversees the technological platforms used for scheduling, Ad Astra, teaching, Brightspace, and general Banner functions for academic operational purposes. Policy creation, implementation, and maintenance are critical duties of this role. This position works closely with Institutional Research to establish improved processes for academic assessment, and oversees the routine assessment of general education, institutional learning outcomes, as well as the program review process. Program performance and quality as well as curriculum management, CPL, and transfer pathways are critical priorities of this position. This role is also the designated Academic Liaison Officer (ALO) to Middle States.
Position Duties and Responsibilities
- Primary leadership of all academic assessment activities
- Designated ALO for Middle States
- Leadership of the Registrar’s Office
- Leadership of the Prison Education Program (PEP)
- Supervises the Registrar, the General Education Coordinator, and the PEP Education Liaison
- Leads the academic scheduling management of the institution, using tools such as Ad Astra to ensure strategic scheduling that aligns with students’ needs
- Responsible for collaborating with 4-year institutions to develop articulation agreements and pathways
- Ensures accuracy of and compliance with academic policies
- Oversees the annual update to the College Catalog and liaisons with the college divisions to ensure accurate and up-to-date information is included
- In collaboration with School Deans oversee the collection and management of syllabi each term
- Manages the SUNY academic program approval process
- Coordinates with the College in the High School program on scheduling management, syllabi collection, and ensurance of meeting college curriculum standards
- Improves effectiveness and quality of the student learning experience
- Implements and assesses an Academic Master Plan
- Oversees the creation and assessment of Institutional Learning Outcomes
- Oversees the administration of Brightspace (D2L), addressing any technical or back-end issues to the platform, and collaborates with the Assistant Dean of Teaching and Learning to resolve any technical issues impacting faculty and students
- Support faculty, and collaborate with curriculum committee, in developing program proposals and program revisions
- Ensure curricular alignment with SUNY, NYSED, and accrediting bodies’ requirements
- Oversees the Credit for Prior Learning approval process and collaborates with the Dean of Workforce Innovation, Career, and Technical Programs for the CPL initiative and micro-credential curriculum development
- Collaborate with the Assistant Dean of Teaching and Learning to ensure faculty professional development in curriculum and assessment
Required Qualifications
- A master’s degree in higher education administration, curriculum and instruction, educational leadership, or a relevant field
- At least 5-6 years of progressive administrative experience in academic affairs, registrar operations, or institutional effectiveness
- Demonstrated expertise in curriculum development and academic assessment
- Experience working with regional accreditation bodies (Middle States preferred) and extensive knowledge of accreditation standards
- At least 3-4 years supervision experience
- Experience with oversight of Prison Education Programs
- Familiarity with SUNY policies and procedures, NYSED program approval processes, and community college governance structures
- Excellent written and verbal communication skills, including the ability to prepare reports, policy documents, and accreditation materials
Preferred Qualifications
- Prior service as Middle States ALO or direct experience coordinating accreditation self-studies
- Experience leading implementation of Ad Astra or similar technological platforms
- Prior experience working within a Registrar’s Office, including catalog management, degree auditing, and maintaining academic records
- Experience developing articulation agreements with 4-year institutions
- Demonstrated knowledge and involvement in modernizing academic operations, improving workflows, and/or implementing academic technologies
Salary and Benefits Information
Annual 12-month salary is $98,000.
