The posting

> Position: Executive – API & Excipient Sourcing

> Department: Purchase & Procurement

> Location: Corporate Office, Ahmedabad, Gujarat

> Experience Required:

  • Minimum 3 - 4 years of experience in API and Excipient sourcing for formulation products.
  • Experience in sourcing for international markets, including Europe, the US and Brazil.
  • Experience in pharmaceutical procurement and vendor management will be preferred.

Eligibility Criteria

  • B.Sc. / B.Pharm / M.Pharm / MBA preferred

  • Excellent communication and interpersonal skills.
  • Strong analytical and problem-solving abilities.
  • Proficiency in MS Excel, PowerPoint and email communication.
  • Knowledge of SAP is preferred.
  • Understanding of GMP compliance and pharmaceutical regulatory requirements.
  • Good coordination, networking and time management skills.
  • Ability to work in a fast-paced environment.
  • Willingness to travel as required.

Key Responsibilities

  • Identify and develop potential vendors for Active Pharmaceutical Ingredients (APIs), excipients and other pharmaceutical raw materials.
  • Source APIs and critical excipients across domestic and international markets, including the US, EU, Canada, WHO and ROW markets.
  • Float RFQs/inquiries, evaluate and compare quotations, negotiate commercial terms and ensure cost-effective procurement.
  • Prepare purchase orders and obtain approvals from designated authorities.
  • Manage Confidentiality Disclosure Agreements (CDAs), RFQs and sample tracking.
  • Evaluate vendor capabilities in terms of GMP compliance, production capacity, scalability and audit readiness, including USFDA, EU-GMP and WHO requirements.
  • Coordinate with Quality Assurance (QA) for vendor site audits, DMF/CEP/PIF readiness and maintenance of the Approved Vendor List (AVL).
  • Develop and maintain second-sourcing and dual-sourcing plans to minimize supply chain risks and dependency on single suppliers.
  • Coordinate with vendors to address regulatory queries raised by regulatory agencies.
  • Obtain and provide supporting documents from vendors for regulatory dossier submissions.
  • Follow up with suppliers to ensure timely delivery of materials and resolve pre-delivery and post-delivery issues.
  • Prepare purchase MIS and other procurement-related reports on a regular basis.
  • Coordinate with internal departments to ensure uninterrupted production and business operations.
  • Ensure timely vendor payments in coordination with the concerned stakeholders.
  • Complete special assignments within defined timelines and travel for procurement-related activities as required.
