Role Overview

As the Procurement Operations Specialist, you'll support day-to-day procurement operations by helping associates and suppliers navigate purchasing, invoicing, and procurement processes. You'll use Coupa and other tools to improve the purchasing experience, strengthen compliance, resolve transactional issues, and support continuous improvement and cost-saving opportunities.

Purchasing & Invoice Operations

  • Review purchase requisitions, purchase orders, and invoices in Coupa for corporate and property-level purchasing.
  • Troubleshoot ordering issues, including incomplete requisitions, item or supplier identification, and purchasing questions.
  • Partner with Accounts Payable, suppliers, and internal teams to resolve invoice discrepancies and exceptions and support timely payment.
  • Ensure purchasing activity aligns with approved suppliers, negotiated contracts, procurement policies, and spend guidelines.

Supplier & Catalog Enablement

  • Partner with internal stakeholders and suppliers to establish and maintain purchasing catalogs that streamline the purchasing experience.
  • Coordinate supplier enablement activities, including punchout catalogs and automated invoice submission.
  • Support procurement efforts to standardize purchasing, consolidate suppliers, and increase use of preferred suppliers and negotiated agreements.

Associate Support & Training

  • Guide associates on procurement processes and effective use of Coupa for purchasing.
  • Create and maintain procurement procedures, job aids, Quick Reference Guides, and training materials.
  • Identify training opportunities and help address knowledge gaps across the organization.
  • Build productive relationships with associates, suppliers, Accounts Payable, and other cross-functional partners to resolve procurement needs.

Technology, Reporting & Process Improvement

  • Support testing, rollout, and adoption of new Coupa functionality and procurement technology enhancements.
  • Assist with developing dashboards and reporting to monitor procurement activity, compliance, and performance.
  • Identify opportunities to improve procurement processes, the purchasing experience, and operational efficiency.
  • Support procurement initiatives, including standardization and cost-saving opportunities.
  • Contribute to continuous improvement efforts and perform other duties as assigned.

Qualifications

  • Bachelor’s degree in business administration, supply chain management, finance, economics, data analytics, or a related field, or equivalent professional experience.
  • 1–2 years of experience in procurement, purchasing operations, supply chain operations, or a related field.
  • Experience with procurement or source-to-pay systems preferred; Coupa experience is a plus but not required.
  • Familiarity with sourcing and procurement practices in a center-led or shared-services environment preferred.
  • Strong analytical, critical-thinking, and problem-solving skills with the ability to make practical recommendations based on available information.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities and meet deadlines.
  • Customer-service mindset with strong interpersonal skills and the ability to build productive relationships with suppliers and internal stakeholders.
  • Excellent written, verbal, and presentation skills.
  • Proficiency in Microsoft Word, Excel, and PowerPoint.
  • Ability to learn and effectively use new technologies, systems, and procurement processes.
  • Willingness to seek feedback, ask questions, and continue developing procurement knowledge and skills.
  • Experience with procurement, source-to-pay, contract-management, or business-intelligence platforms is preferred.
  • Experience in real estate, property management, or facilities management is a plus.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
