Summary: The project coordinator works closely with the Project Administrator and Project Manager to assure that contracts are accepted and set up correctly for proper execution including contract interpretation, coordination with accounting, manufacturing, engineering and purchasing to ensure all aspects of the contract are understood and executed accurately, on time and on budget. The Project Coordinator is responsible for coordination of assigned projects from initial set up to project close out and turn over to the support team. The ideal person will have the ability to work with multiple teams and communicate clearly with each group as to the needs of a particular project. The ability to work independently, but to also know when to bring in other team members to assist for specialized information is required. Additionally, this person should have the ability to work on multiple projects and workflows in different stages of progress, at the same time, be able to recognize potential delays or added costs to catch them early and mitigate impact. Responsibilities:
Precontract:
Work with sales and vendors to ensure long lead equipment is available to ship within proposed project timeline and budget. Define proposed shipping & logistics needs and provide quotes for cost and delivery timeline.
Upon Receipt of Contract:
Review and interpret contract turnover documents and follow up with sales and project management to ensure understanding and scope. –-Initiate Project Set up internally and distribute necessary information to
Accounting Manufacturing Purchasing
Support
Enter project details into sales order, work order, database and project tracking forms and maintain throughout the project. Initiate invoicing and milestone billing dates based on contract schedule and update weekly Review and maintain projector and lens inventory relevant to project schedules. Build procurement schedule and initiate order requests for contract specific 3rd party vendor orders and oversee payment releases according to project schedule. Work with Project manager & customer to coordinate to accommodate changes and resolve any issues that may arise with attention to company values and customer satisfaction. Assess and prioritize tasks across multiple ongoing projects daily Coordinate domestic and international shipping logistics and insurance to remain on schedule, on budget and in compliance. Prepare shipping documents according to contract terms and coordinate system delivery to customer site. Project Closeout
Ensure final payments are received against project completion as needed
Requirements:
Minimum two years of project administrative experience. High School or GED required; Degree preferred. Experience in Office Suite required. Experience in accounting software, database entry and inventory systems preferred. Ability to work independently with good organizational skills is a must. Being a motivated self-starter is a must. Familiarity with shipping and logistics processes preferred Experience of general purchasing processes, to and from commercial locations preferred. Strong coordination, organization, teaming and communication abilities Ability to work under pressure and time constraints
The base hourly range for this position in Salt Lake City is $27.00/hr. to $37.00/hr. The hourly base offered will factor in internal equity and may also vary depending on the candidate's geographic region, job-related knowledge, skills, and relevant experience, among other factors.
