Work Schedule & Environment Candidates must be located within a commutable distance to the Greensboro office to fulfill physical document processing and administrative duties.

Core Responsibilities

Document Processing & Tax Return Assembly

- Assemble, format, and package final individual, corporate, partnership, and trust tax returns in compliance with firm standards.

- Scan, index, and organize physical and digital client source documents (W-2s, 1099s, K-1s) into the firm's document management system.

- Prepare client tax organizers, engagement letters, and standard tax delivery packages.

Workflow & E-Filing Management

- Monitor, track, and update the status of tax returns within the firm’s workflow software to ensure zero missed deadlines.

- Execute electronic filing (e-filing) of federal and state tax returns and extensions.

- Track, log, and resolve e-file rejections or processing errors under the guidance of tax professionals.

Client Service & Portal Administration

- Manage the secure client portal, including onboarding clients, troubleshooting login issues, and securely transferring sensitive files.

- Serve as a primary point of contact for clients regarding administrative questions, missing document requests, and tax package delivery updates.

- Schedule client consultations, manage tax department calendars, and coordinate signing appointments.

Firm Operations & Administrative Support

- Process departmental billing, draft invoices, and track accounts receivable for tax engagements.

- Draft, proofread, and distribute professional correspondence, including IRS/state tax notices and internal memos.

- Assist with general office operations, including front desk backup coverage on in-office days, mail distribution, and ordering department-specific supplies.

- Comfortable utilizing remote collaboration tools (e.g., Microsoft Teams, Zoom) and working independently in a home office environment.

Competencies

- Exceptional attention to detail and a high degree of accuracy in data entry and document review.

- Strong organizational and multi-tasking skills with the ability to prioritize competing deadlines in a high-pressure environment.

- Excellent verbal and written communication skills suitable for direct, professional client interaction.

- Strict adherence to maintaining the absolute confidentiality of sensitive financial and personal data.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
