The ideal candidate will have experience working as a office assistant and have experience within a service oriented environment.

Responsibilities:

  • Administrative Support: You will provide comprehensive administrative support to the service department, including answering phone calls, responding to emails, and managing paperwork. Your ability to maintain clear and effective communication with customers, suppliers, and internal staff is vital.
  • Customer Service: A large part of your role will involve interacting with customers, both in person and over the phone. You will assist in scheduling appointments, addressing inquiries, and ensuring that clients feel well taken care of during their service experience.
  • Data Entry: Accurate record-keeping is essential in the heavy truck service industry. You will be responsible for maintaining and updating service records, warranty information, and vehicle histories in our database.
  • Appointment Scheduling: Efficiently manage service appointments by coordinating with customers and technicians, ensuring that the service bay stays busy but well-organized.
  • Filing and Documentation: Maintain organized and up-to-date records, including invoices, work orders, and service manuals.
  • Billing and Invoicing: Assist with generating invoices for completed services, ensuring accuracy and timeliness.

Experience:

  • Previous experience working in a similar assistant role is preferred
  • Familiarity with heavy truck terminology and procedures is a plus
  • Strong customer service skills, with the ability to handle difficult situations calmly and professionally
  • Excellent communication skills, both verbal and written
  • Ability to multitask and prioritize tasks effectively
  • Experience in office management beneficial
  • Pay is based off experience
