The posting

We are looking for an experienced Document Controller with strong project documentation experience across the full project lifecycle, from early-stage design and pre-contract activities through construction, project delivery, and close-out/handover.

The role requires a candidate who can manage, organize, validate, track, and maintain project records in a structured and controlled manner, ensuring that documentation remains accurate, complete, traceable, and accessible throughout each project stage.

Candidate Experience Requirement

The candidate should have proven hands-on experience in document control within construction, development, engineering, or real estate projects, with the ability to support multiple project teams and maintain effective control over project information.

Key Responsibilities

  • Maintain controlled project documentation in line with agreed procedures, naming conventions, revision control, and approval workflows.
  • Support document management activities across design, commercial, construction, quality, commissioning, and close-out stages.
  • Coordinate with internal and external project stakeholders to ensure timely submission, review, distribution, and retrieval of project information.
  • Review documentation for completeness, correct status, version control, traceability, and alignment with project requirements.
  • Support document migration, records clean-up, reporting, archiving, and project handover readiness activities.

Required Document Control Experience

  • Strong experience managing project documentation across the full project lifecycle, including pre-contract, post-contract, commercial, construction/site execution, and close-out stages.
  • Pre-contract experience covering concept, feasibility, design development, tender preparation, tender addenda, clarifications, submissions, and controlled issue of tender documentation to support procurement and appointment activities.
  • Post-contract experience supporting the controlled transition of documentation from issued-for-tender and contract documentation through issued-for-construction information, ensuring correct revision control, distribution, superseding, and traceability.
  • Experience managing documentation during site activities, including design updates, technical submissions, correspondences, approvals, inspections, quality records, progress-related records, and construction-stage document workflows.
  • Commercial document control experience, including controlled handling of tender/commercial submissions, contract documents, variations, claims, payment-related records, cost-related correspondence, procurement records, and supporting documentation for commercial review and audit purposes.
  • Close-out experience supporting the compilation, review, tracking, and handover of final project records, including completion documentation, as-built information, operation and maintenance records, warranties, certificates, testing and commissioning records, and authority or stakeholder handover requirements.
  • Strong understanding of document control principles, including document numbering, registers, transmittals, approvals, revisions, status tracking, metadata control, and controlled distribution.
  • Ability to identify incomplete, outdated, duplicated, incorrectly classified, or misaligned records and support corrective action to maintain accurate and reliable project information.
  • Experience working with electronic document management systems, shared repositories, structured project filing environments, and document registers across multiple projects or workstreams.
  • Ability to prepare document control reports, trackers, status updates, and audit-support records to assist project teams with timely decision-making and project governance.

Technical Awareness

The candidate should have a general understanding of construction and development project documentation, including design, technical, commercial, quality, and handover information, with the ability to recognize key document types and manage them appropriately within a controlled document environment.

Systems Knowledge

Demonstrated experience using electronic document management systems, project information platforms, shared drives, and document repositories to manage, track, validate, and retrieve project information accurately.

Qualifications & Experience

  • Bachelor's Degree, Diploma, or relevant professional qualification.
  • Minimum 5–10 years of document control experience within construction, development, engineering, or real estate projects.
  • Experience supporting project teams across the full project lifecycle, from early project stages through final handover.
  • Familiarity with UAE construction practices, approval processes, and project documentation requirements is preferred.

Key Competencies

  • Strong document control and records management capability.
  • Good understanding of construction project workflows and documentation processes.
  • High attention to detail, accuracy, and audit readiness.
  • Strong coordination, communication, and stakeholder management skills.
  • Ability to manage high-volume documentation across multiple projects or workstreams.
  • Good reporting and data handling capability, including use of advance Excel or similar tools to support tracking and reporting activities.

Ideal Candidate Profile

The ideal candidate is a Document Controller who has proven hands-on experience handling and managing documents for Design, Commercial, Contracts, Construction, QA/QC, Testing & Commissioning, and Project Close-Out teams. The candidate must have a clear understanding of how documentation flows throughout the full project lifecycle and must be capable of managing controlled records accurately from initial design through final handover.

Why it works

3×

more interviews than doing it yourself with ChatGPT.

ChatGPT writes a CV and never learns what happened to it. We see every reply. For each CV we know:

  • How it was written, and how the review scored it
  • When we applied, and how long after the posting went up
  • Which posting, which company, which city
  • Who got the interview, and who heard nothing

That is how we know which CVs get called.
